Job Summary:
The HR Onboarding Specialist is an integral part of the core HR team acting as a liaison between recruiting, human resources, information technology and operations. The HR Onboarding Specialist is responsible for guiding new hires through the onboarding process from pre-employment requirements through the first week of the job to ensure the new employee is adjusted and confident in their new work environment and culture. They act as a new employee advocate throughout the pre-employment process and participate in any ad hoc projects around the entire onboarding process for the new hires.
Duties/Responsibilities:

Correspond with new employees immediately upon job acceptance to start the HR onboarding process.
Coordinate onboarding activities within the core HR team as well as with recruiting, IT, administration, safety, accounting and reporting manager to ensure all pre-employment requirements are complete by new hire start date.
Lead communication with reporting managers / operational and office administrators to ensure smooth transition for the operational onboarding for the new hires’ first week – this may include information on start date/location, work schedules, dress code and parking/transportation options.

· Assist reporting manager in communication to new hires to ensure a successful transition during operational onboarding.

Coordinate the preparation of the onboarding kits with marketing department, work with local Office Administrators to ensure design and distribution of kits.
Conduct New Hire Orientation.
Coordinate with IT department to ensure new hires have technical assistance to properly set up their hardware and software.
Distribute and monitor required training completion certifications: harassment prevention, OSHA, and safety trainings.
Update ATS, HRIS / HCM, client’s systems with relevant new hire information.
Create and maintain new hires’ digital files with the relevant information, including, but not limited to accepted offer letters, completed pre-employment checks, acknowledged manuals, guidelines, and other relevant information.
Ensure the completion of the I-9 form within published guidelines.
Distribute weekly new hire onboarding questionnaire to gauge new hires experience and address any issues that might arise as the result of any onboarding steps.
Recommend innovative and creative ways to onboard new employees.

· Performs other duties as assigned.
Required Skills/Abilities:

Ability to manage and handle multiple tasks in a fast paced/high growth environment
Strong organizational skills and attention to detail
Hands-on experience with Human Resources Information Systems (HRIS) including Applicant Tracking Systems and Employee Onboarding Software
Basic knowledge of HR practices and labor legislation
Solid understanding of full employee life cycle
Excellent verbal and written communication skills
Team spirit and Great interpersonal skills
Ability to maintain sensitive and confidential information

Education and Experience:
· Associate degree in Human Resources, Business Administration, or related field is required
· Bachelor’s degree in Human Resources, Labor Relations, Business, or related field preferred
· At least two years’ experience as an Onboarding Specialist or a similar role in a Human Resources Department, or equivalent experience.
Job Type: Full-time
Pay: $55,000.00 – $65,000.00 per year
