Job Description : Ideal Candidate
The ideal candidate will have great EQ and an ability to build strong working relationships with various stakeholders including vendors, managers, team, clients, contractors, creatives, house staff, agents, producers (and more) while maintaining a high level of professionalism, discretion and confidentiality in handling sensitive information. Excellent written and verbal communication skills are crucial. Also important is the ability to demonstrate appropriate preparation and follow through by anticipating the needs of the executive while timely responding to correspondence or management and follow-up of various tasks.
You will thrive if you are a self-motivated professional who communicates well, has a strong work ethic, a proactive approach with excellent follow-up and the ability to work independently and excel in a variety of ever changing environments that lean into a hospitality-style, client-focused environment.
Should be extremely proficient in basic software for communication (G-Suite, Slack, Pages, Numbers, Keynote), and able to pick up, research and recommend productivity software that can help with future efficiencies.
Adobe Photoshop, InDesign and Acrobat DC skills are very helpful, but not required.
Duties

Support Executive by performing tasks related to overall organization: management of inboxes / correspondence / inquiries / scheduling:
Provide administrative support to ensure efficient operation of the Executive’s business and home offices
Daily/weekly calendar audits and frequent standup to sync on priorities with Executive
Adeptly handle multiple schedules, time zones and meetings: Manage calendar requests, including coordination with internal and external calendars, calendaring deadlines, maintaining daily scheduling, setting internal and external meetings, safeguarding executive’s time and focus
Coordinate and prioritize incoming verbal and email requests
Correspond with business and industry partners
Send important follow-ups, circle back on conversations, provide and/or request more information on behalf of Executive
Attend meetings on behalf of the Executive and report back with relevant information
Oversee operational procedures that help manage meetings: create internal and external meeting agendas, note taking and distribution of information to team members
File organization, saving documents onto internal server system
Sorting and sending mail between off site mailbox / residence and multiple offices: Los Angeles, Santa Monica & Culver City
Schedule personal appointments
Schedule residence maintenance, repair works and supervise projects
Maintain shared calendar of vendors and service workers at each residence
Work with various staff members at various residences to keep households properly maintained and stocked for family and guests.
Pet care (Comfortable with dog walking, occasional feeding, veterinary visits)
Vehicle maintenance coordination
Assist with grocery and specialty foods shopping, if needed
Ad-hoc errands + duties

Skills and Qualifications

Meticulous attention to detail and follow through
Excellent communication and interpersonal skills with emphasis on relationship building with a positive bend
Ability to interact comfortably and effectively with external partners, clients and employees of the company at all levels including Senior Management
Proactive and resourceful
Problem-solving and critical thinking skills
Ability to work on multiple projects and produce high-quality work under tight schedules

Experience

Personal / admin assistant: 3-5 year, required
Some college or certification courses, ideal

Pay: $65,000.00 – $75,000.00 per year
