Job Description : Overview: Join our team of non-profit, camp professionals serving children with heart disease. Assist the Program Director in administrative planning for all our programs and fundraising events. Manage registration and communications with our camper families.

Mostly remote, occasional trips to storage facility in Van Nuys, main office in N. Hollywood and Catalina Express dock in San Pedro
20 hours per week/ $20/hr.
Approximately 25 additional hours for evening meetings (April-August)
Approximately 27 additional hours for pick up / drop off days (listed below)
Approximately 84 additional hours plus 14 hours OT for on-call duty when camp is in session
(8am -8pm, 14 days, late August – early Sept)
8 additional hours for Staff Training day on the third Saturday in August

Skills:

Advanced computer skills including proficiency in Excel, Google Drive, Adobe, basic design skills, and an ability to learn new programs is required.
Well organized, a self-starter, patient, communication skills, flexible schedule.
Previous experience/familiarity with summer camp/youth programs is ideal.
Ability to lift 25 lbs. Some moving of camp supplies will be required.
Ability to speak Spanish is helpful for communication with camper families.

Responsibilities

Office Administrative Tasks
Answer phones, check messages & disseminate messages.
Check incoming and outgoing mail and disseminate to the office.
Mail camp promotional material to medical facilities – check in to maintain their supply.
Occasional scanning and filing projects.
Oversee volunteers in the office.
Camper Communication and Outreach
Communicate and familiarize yourself with all new and returning camper families.
Manage camper and family outreach and registration for events.
Assess current practices and implement new practices to reach new camper populations.
Manage camper family communications on camp’s social media pages.
Camper Registration
Manage and troubleshoot the CampDoc Registration system.
Onboard update and review all campers into the CampDoc Registration system.
Introduce parents, doctors, and nurses to the use of the CampDoc system.
Coordinate with doctors, nurses, and medical offices to obtain completed medical forms for each camper, either in hardcopy or online.
Coordinate and attend camper application review meetings with the camp nurses
Compile and manage camp session waitlists, nametags, and cabin paperwork.
Run in-person pick up and drop off on the first and last day of each camp session. (San Pedro)
Camp Program Support
Assist Camp Director in managing volunteer staff applications in CampDoc.
Monitor status of background checks, licenses and certifications, etc.
Attend staff training day as volunteer coordinator.
Edit/update program documents for current year’s program.
Assist in preparation of materials for interview days, trainings, and programs.
Handle all lost & found items, ship back to families.
Assist with additional program tasks as needed.
Event Support
Assist program director with tasks related to the planning and execution of programs and events as needed

Important Dates – You must be available for the following event dates.

Bi-weekly Medical Team Meetings (via Zoom)
7pm Weeknight
Will be scheduled with the team, okay to miss 1-2 based on availability
Staff Training Day (in person, El Segundo)
Aug 13th – 7:00am-4pm
“On Call Duty”
Aug. 18-Aug 30th : 8am-8pm phone coverage
Last minute errand requests for supplies
Camp Registration Days (in person, San Pedro)
August 18th – 6:30am-10:30am
August 22nd – 6:30am-10:30am, 12pm – 4pm
August 26th – 6:30am-10:30am, 12pm – 4pm
August 30th – 12pm – 4pm

Job Types: Part-time, Temporary
Pay: From $20.00 per hour
