Job Description : Position Description

Patrol Bureau Administrative Assistant II (District Secretary) – A civilian employee of the Sheriff’s Office who is assigned to the Patrol Bureau and performs specific secretarial duties. Duties and Responsibilities The primary duty of the Administrative Assistant II is to assist the District Commander in the daily routine office procedures of the Patrol Bureau. These include, but are not limited to the following:

Dictation, Typing, Filing, Answering phone calls, Disseminating correspondence
Compiling monthly reports, Compiling and maintaining statistical information
Maintaining personnel records and files
Payroll entry and records
Must be able to properly handle sensitive and confidential information
Other duties deemed necessary by the District Commander

Requirements

Bachelor’s Degree and one (1) year of professional administrative experience; or
Associate’s Degree and three (3) years of professional administrative experience; or
High School Diploma or GED, along with a minimum of five (5) years of professional administrative experience

Must pass the “Administrative Staff Skill test” with a minimum overall score of 85% and a typing speed of 45 WPM with 85% accuracy

Knowledge, Skills, and Abilities
Knowledge of:

The STARS payroll system, SIRS, Tele staff, CAD maintenance, Phone operations and maintain a filing system
Skilled in :

Proficient in using related technology such as software programs such as MS Office Word, Excel, Outlook, and Adobe
Strong communications skills – both written and verbal
Excellent interpersonal and presentation skills
Strong problem-solving and organizational skills
Attention to detail, accuracy, and data integrity
Ability to:

Be driven and consistently evaluate and improve the efficiency and effectiveness of processes and services
Organize, set priorities, and exercise sound independent judgment
Plan, prioritize and balance the work of several projects simultaneously in a fast-paced environment
Establish and maintain effective working relationships in a diverse environment
Collaboratively work with various levels of the organization as well as the public
Exhibit a high level of confidentiality

Preferences

Bi-Lingual
Skilled in social media platforms including Facebook, Twitter, Instagram, Next Door, etc.

Hours:

40 hours per week – Various shifts based on position offered
Possibly including Weekends and Holidays

Preference will be given to current Harris County Sheriff’s Office employees that are deemed qualified
