General Description

Administrative Assistant II
Performs administrative office support-related work. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.
Administrative Assistant III
Performs administrative office support-related work. Work usually involves some confidential and sensitive correspondence and communications. Work requires contact with middle and high-level managers. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Duties

Administrative Assistant II
The essential duties for this job include:

Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistant.
Assists in the development and preparation of special reports.
Composes routine reports.
Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, travel and information.
Maintains records and inventories of materials, supplies and equipment.
Maintains office files/records/logs and suspense systems.
Provides assistance to the public.
Receives, sorts, opens, evaluates content and distributes mail; as required may drive to deliver/pick up confidential or time sensitive correspondence.
Enters and retrieves data on a computer.
Performs other job responsibilities as assigned.

Administrative Assistant III
The essential duties for this job include:

Performs technical writing as required in addition to proofreading duties.
Researches and compiles information for reports or inquiries which require an understanding of technical matters.
Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistant.
Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, travel and information.
Maintains records and inventories of materials, supplies and equipment.
Provides assistance to the public.
Receives, sorts, opens, evaluates content and distributes mail; as required may drive to deliver/pick up confidential or time sensitive correspondence.
Enters and retrieves data on a computer.
Schedules meetings, appointments and makes travel arrangements.
Performs other job responsibilities as assigned.

The physical requirements for this job include the following:

Sedentary work: Lift up to 10 lbs at a time and occasionally carry files/small tools
Light work: Lift up to 20 lbs at a time and frequently lift or carry objects up to 10 lbs
