Position : Administrative Assistant
Job Description : The Marlin Alliance Inc. is seeking an Administrative Assistant to support our Navy customer in San Diego, CA. The candidate must have or be able to obtain a DoD clearance.
Established in 2002, The Marlin Alliance, Inc. – a woman-owned small business – provides transformation consulting, professional services, and technical support to government, military, healthcare, telecommunications, and utility industry clients.
Duties / Responsibilities
Facilitate the DCHR Calendar to assist with meeting requests, move appointments, and coordinate scheduling with internal and external parties
Serve as primary coordinator for the DCHR-assigned tasks issued through the Department of the Navy Tasking, Records, and Consolidated Knowledge Enterprise Repository (DON TRACKER)
Serialize and track individual data calls requesting inputs on Navy-wide regulations and SECNAV instruction reviews, reoccurring HR statistical data and program status reports on civilian employee programs, and routine briefs, reports, and metrics for submission
Maintain a plan of action for cyclical reviews and track the progress and finalization of each instruction
Serve as the records management coordinator to develop a planned approach for archiving, consolidating and organizing files
Process confidential requests and notices of unemployment information concerning civilians previously employed command-wide, such requests received through standard postal mail from agencies such as the Employment Development Department, State of California and the Virginia Employment Commission.
Manage purchases and adhere to established purchasing policies and government regulations including different rules for various types of purchasing
Manage multiple Wiki intranet pages in a timely manner with routine and ad-hoc HR information while taking into account functionality, appearance, and content
Update the Day One Onboarding portfolio (Adobe portfolio), which is sent to the newly hired federal employees
Safeguard Personally Identifiable Information (PII), For Official Use Only (FOUO), and Controlled Unclassified Information (CUI) documents inside appropriate burn bags; collect (monthly) full burn bags containing such documents from client/contractor staff
Assist with developing workforce announcements, using forms to generate surveys, manage training registration
Required Qualifications:
4+ years of experience as an Administrative Assistant or similar experience
Demonstrated ability to effectively communicate orally and in writing, to include writing and preparing memorandums, letters, and other official correspondence.
Proficiency in SharePoint and Microsoft Teams.
Demonstrated ability to monitor important and complex projects concurrently
Knowledge of Microsoft Word, Excel, Power Point, Adobe PDF and email software
Demonstrated skill in problem-solving and critical-thinking
Experience in developing and editing instructions, user-guides, correspondence and briefs/presentations.
Preferred Qualifications:
Active DoD Secret Clearance
Bachelor’s degree
MS Teams experience
