Position Summary:
Come join a dynamic organization dedicated to providing quality, relevant and engaging opportunities for Pennsylvania’s Certified Public Accountants (CPAs). The PICPA is seeking an administrative assistant for this dual support role. This role will support the Member Program and Strategy team in administering and growing all member programs, products, and services, and will also provide support to the CEO with scheduling, administration, and special projects.
The successful candidate will be an experienced administrative assistant, with strong professional communication and collaboration skills, ready to handle meeting scheduling and preparation, database management, research, and member & committee communication. Partially remote position requires travel to assist on-site at events and/or meetings in PA as needed (est. 10-20%).
Roles & Responsibilities:

Provide executive and committee meeting support, including create and maintain board, council, and committee meeting calendars; coordinate event logistics and provide administrative support; attend meetings and take minutes
Outreach to subject matter experts, volunteers, and committee members to gather content for meetings, events, blogs, podcasts, and the career center
Responsible for the annual management of the nomination process for appointed positions. This includes collecting biography information and headshots, adding information to the website, and preparing proper nomination documentation for board approvals, researching committee nominees, and facilitating communication between committees and nominees
Database management: creating event records, maintaining member and meeting data, data integrity, running reports
Work with the marketing team to provide and update content for web pages and data related to committees and membership
Provide administrative and scheduling support to the executive and management teams members; Organize team communications and plan events, both internally and off-site
Professional email and phone correspondence with members, subject matter experts, vendors, and other professional partners
Cross team collaboration
Provide backup customer service support as needed
Travel to events and/or meetings in PA as needed (est. 10-20%)
Other administrative duties as needed
. Requirements:

Position Requirements:

Degree or equivalent work experience
3+ years of administrative, clerical, or executive support experience
Engaging self-starter, eager to learn and collaborate across teams
Exceptional interpersonal and professional communications skills – relationship building and cross-team collaboration
Excellent organizational skills and ability to thrive in a deadline-driven environment
Experience working within a database and using data to inform decisions
Experience in leading projects, meetings, taking minutes and working in team environment
Ability to quickly and effectively adapt
Knowledge and proficiency in current Windows operating systems, current Microsoft Office products, and general knowledge of customer database applications.
Position requires travel within Pennsylvania (est. 10-20%).
