Job Description : Description
The primary purpose of this position is to provide overall technical administrative support for the Department of Innovative Technology. The incumbent will also perform technical purchasing functions with the SAHA procurement department, support the department with Audio/Visual meeting setups and ensure the timely renewals of all Saas (Software as a Service) license renewals. The incumbent will provide budget preparation and manage the inventory process as it pertains to budget preparation and asset management.
All activities must support the San Antonio Housing Authority’s (SAHA’s) mission, strategic goals, and objectives, while producing results that accomplish the goals of the Department of Innovative Technology.
Examples of Duties

Provides administrative support to the staff of the Innovative Technology department.
Maintains the Innovative Technology Google file management (FM) system in accordance with management (FM) standards, budget documents and/or other files for the department.
Support the Innovative Technology department with the scheduling, setup and coordination of internal and external meetings that require Audio/Visual setup, installation and support.
Coordinate with the SAHA Procurement Department to facilitate the purchasing of technology equipment as requested via help log equipment purchases from all SAHA departments
Assist the Director of Innovative Technology with the budget process to perform less complex work involved in budget preparation.
Reviews vendor invoices and references invoices with vendor contracts; ensures proper documentation is received and maintained in order to process vendor payment in a timely manner.
Supports the Director of Innovative Technology to ensure the timely renewal of the SaaS (Software aaService) licenses; maintains the license renewal calendar.
Coordinates and handles any processing of payment discrepancies; researches vendor payment requests.
Completes technical and administrative work involved in coordinating meetings and agenda preparation.
Supports the Director of Innovative Technology with the creation and typing of correspondence, requisitions, memoranda, budgets, and other documents; builds and maintains standard operating procedures, workflows, flowcharts, and/or presentations.
Answers phones, screens calls, and responds to inquiries; provides answers to general questions regarding Innovative Technology and housing, or refers inquiries to an appropriate source.
Maintains appointment and meeting calendars for Director of Innovative Technology, IT staff and department; books necessary meetings, prepares travel arrangements and Director expense reports.
Requisitions and maintains inventory of office supplies and equipment.
Prepares requisitions and Docusign electronic signature envelopes for all department purchasing for approvals
Performs other duties as assigned.

Typical Qualifications
Education and/or Experience: Required:

Associates Degree Information Technology, Business or a related field.
Two (2) years of progressively responsible administrative experience.
Two (2) years of technology experience and understanding of technical terminology
An equivalent combination of education and experience may be considered.
Must have the ability to learn and use cloud applications such as the Google Workspace applications to include but not limited to: Google Chrome Browser, Gmail, Google Drive, Calendar, Docs, Sheets and Slides. Understanding document sharing and collaboration in the cloud. Experience and proficiency with Microsoft Office 365, cloud accessible applications to include but not limited to: One drive, Outlook, Word, Excel and Powerpoint or MAC or PC desktop equivalent is acceptable.
Successful completion of a criminal history background check, education, and work history verification, and drug screening test.

*Preferred: *

Bachelor’s Degree in Information Technology, Business or a related field.
Ability to learn cloud technologies such as LucidChart for diagramming, workflow and chart drawing. Experience with Vizio or equivalent is acceptable; Docusign for electronic signature and setup of setup of signature workflows; Experience with Adobe Echosign or other electronic signature software or equivalent is acceptable
Basic understanding of Virtual Private Network (VPN) access to connect to internal business systems to work from home when needed.
Two (2) years of progressively responsible technical administrative experience.

*License and Certifications: *

Texas Class “C” driver’s license at the time of placement and insurable by SAHA’s fleet and liability insurance carrier.
Must have the ability to earn certifications as required by assigned tasks.

*Technical Skills: *To perform this job successfully, the employee should have:

Strong computer skills in cloud and web based technologies, including Google Workspace Apps Google Mail, Drive, Docs, Sheets and Slides and other Cloud platforms
Equivalent skills in MS Word, Excel, PowerPoint and Outlook are acceptable.
General understanding of processing and setup of electronic signature envelopes using Docusign or other type of electronic signature software
Must have the ability to learn Audio Visual hardware and other computer programs as required by assigned tasks.
General ability to learn the SAHA financial systems to enter requisitions and expense reports
