Job Description : Who we are: The SS United States Conservancy, a national nonprofit organization founded in 2004, is dedicated to protecting, revitalizing, and promoting the historic ocean liner SS United States, the largest passenger ship ever built in America and current holder of the transatlantic speed record. “America’s Flagship” transported four U.S. presidents, business moguls, movie stars, tourists, artists and authors, and immigrants, and the vessel is one of the sole surviving iconic ocean liners from the golden age of trans-Atlantic travel.
The SS United States Conservancy purchased the SS United States in February of 2011 and is currently working to secure her future as a mixed-use, stationary development which will include a SS United States museum and innovation center. As these plans advance, the Conservancy is building its permanent collection of archives, art, and artifacts from the SS United States and developing digital and temporary exhibitions. Our dedicated staff continues to explore how to best preserve, celebrate, and disseminate the range of items in the Conservancy’s collections through social media platforms, earned media, and partnerships with museums, institutions, and other organizations.
Guided by a prominent board of directors and advisory council, the Conservancy currently has a small team based in Washington, DC, Philadelphia, and New York. The organization has members hailing from all 50 states and 22 nations worldwide.

What we are looking for: The SS United States Conservancy is currently recruiting for a part-time Administrative and Program Associate to be based in its Philadelphia office. (Some remote work is possible.) While the majority of the job requirements are administrative, the position offers the opportunity to assume additional program responsibilities in historic preservation and museum development and could be a great fit for someone interested in exploring those fields.
The roles and responsibilities of the Administrative and Program Associate include:
· Handle correspondence with donors and members of the public, including generating acknowledgment letters for donations and written responses to information requests;
· Enter donations and donor information into the organization’s donor tracking software program and database (DonorPerfect) and generate reports on funding trends and donations, including quarterly financial summaries;
· Manage communications between the Conservancy and Atlantic Logistics pertaining to vessel management, access and security;
· Run merchandising operations including brainstorming merchandising opportunities and acting as a liaison between Conservancy leadership and merchandising partners
· Handle general phone calls and triage/assign to relevant staff for in-depth follow-up;
· Provide general administrative support duties, as needed (copying, mailing, managing the organization’s filing systems, scheduling and organizing virtual team meetings, etc.);
Manage support to the organization’s regional chapters, including serving as the point person for chapter leaders and supporting local fundraising events
· Conduct background historical research on items in the Conservancy’s curatorial collections and, time permitting, interview former ship passengers and crew about their memories of the SS United States and assist in the cataloging of historic artifacts.
Qualifications
Required:
· Strong working knowledge of Microsoft Word, Excel, Google Drive, etc.
· Very strong written, oral communication, and interpersonal skills
· Excellent attention to detail and strong organizational abilities
· Self-starter; ability to work effectively without close or remote supervision
· Willingness and ability to manage tasks independently without direct, day-to-day oversight
· Enthusiastic team player with positive and flexible attitude and sense of humor
Preferred:
· Previous administrative and/or nonprofit experience. Knowledge of DonorPerfect software and grants management systems.
Interest in U.S. or maritime history and/or mid-century modern art and design
Commitment: Approximately 20-30 hours per week. Some work can be performed remotely but at least one day per week should be based in the Conservancy’s office in Philadelphia’s Old City neighborhood.
Remuneration: Starting compensation is $25/hour.
Start Date and Duration: Negotiable.
