Position Highlights
The University of Arizona, College of Medicine – Phoenix seeks an Administrative Assistant to support the Curricular Affairs Unit in its mission to inspire and train exemplary physicians, scientists and leaders to optimize health and health care in Arizona and beyond. This successful candidate will perform varied advanced administrative work requiring: initiative, independence, flexibility and excellent written/verbal communication skills. This position provides vital support for Curricular Affairs operations including: support to Electives and Pre-clerkships, administrative support for the Directors, as well as participation and support to unit subcommittees.

Duties & Responsibilities
Performs a variety of administrative and/or secretarial support activities for supervisor such as composing replies to correspondence on own initiative, interpreting and explaining established policy and procedure in response to inquiries from a variety of sources, summarizing reports and information to facilitate review by superior and investigating, evaluating and resolving problems within scope of position.
Creates and updates departmental files, databases and reports.
Provides guidance and assistance as needed to students, faculty, researchers and other staff on policies, practices and procedures.
Prepares or directs preparation of minutes, notices, manuals, agendas and correspondence with all supporting documentation, requiring application of a specialized knowledge of the assigned function.
Researches, summarizes and analyzes information; calculates statistics and compiles data to prepare special and recurring reports containing specialized or sensitive information following supervisors general direction; selects relevant information from a variety of sources.
Implements new policies, procedures or practices impacted by decisions made by supervisor at meetings and conferences.
Helps third and fourth year coordinator track down elective grades for both aways and local sites.
Uses effective communication to make sure course and clerkship directors understand LCME standards.
Coordinates complex processes and initiatives that require significant judgment such as grant proposals, faculty searches, or complicated course scheduling.
Composes and edits complex internal and external correspondence and documents such as manuscript submissions for journals.
Creates and oversees complex record-keeping systems and databases.
Prioritizes workload, meetings, and appointments to meet work unit operations. Assists in the coordination and implementation of multiple projects.
Analyzes complex information. Laying out information in reports and documents in ways that enhances readability.
Monitors, reviews, and approves standard expenditures to ensure the activities of the office are conducted within established budgets.
Produces reports from curricular management system as needed and analyzes information and makes recommendations based on requirement.
Coordinates business affairs, personnel matters and may interpret policies and procedures.
Opens and reviews all incoming mail; answers inquiries and composes correspondence on own initiative on general and technical matters in accordance with established guidelines and forwards.
Types or word processes correspondence, reports or other documents from rough draft, shorthand notes or dictaphone tapes; corrects grammar, spelling and punctuation errors; edits wording without changing intended message.
Additional duties may be assigned.
Minimum Qualifications
High school diploma or equivalent, or equivalent learning attained through experience required.
Minimum of 5 years of relevant experience required.
Preferred Qualifications
Associate degree in related field and/or Higher education experience.
