Position : Administrative Support Coordinator I

Job Description : Overview:

Due to current COVID-19 restrictions, this position is primarily virtual, requiring telework. The assignments will transition back to an in-office environment as COVID-19 restrictions are lifted.

The Administrative Support Coordinator provides clerical, office, and program support to the NCUST program which may include, but is not limited to, the following: ordering of supplies and equipment; sorting incoming mail; answering phones; taking minutes at meetings; scheduling, preparing for and conducting follow-up associated with program planning meetings; coordinating, scheduling and handling logistics for trainings and events; organizing materials and equipment for trainings.

Responsibilities:

The Administrative Support Coordinator is responsible for but not limited to:

Administrative Support 95%

Performs a variety of moderate to complex clerical work assignments of a responsible and difficult nature involving the planning and organizing of the clerical/secretarial work of the office: Manage the Executive Director’s calendar, referring and screening visitors and calls, scheduling meetings and special activities; explaining office and or program policies; typing and preparing documents, correspondence, and reports; data transcription; maintaining and tracking records; filing and faxing documents; processing standard and electronic mail; using office support technology and systems such as word processing, desktop publishing, spreadsheets, and databases to produce results; creating and maintaining standard and electronic records, files and record keeping systems; processing documents and records; making travel and other arrangements; ordering and maintaining supplies; interacting with and solving problems for internal and external clients; learning and using new software for virtual events; liaising with outside software vendors to build virtual events in a timely manner; see virtual events from start to finish by collaborating with leadership and staff to plan, promote, and execute.

Other Duties and Responsibilities as Assigned 5%
Qualifications:

Four years of progressively responsible experience in an office or administrative environment
High school diploma or equivalent

Preferred Experience:

Previous experience screening and referring calls and visitors, managing calendars, making travel arrangements;
Experience working with K-12 education and/or non-profit organization experience.
