Job Description : Position Summary
The College of Arts and Letters has 18 academic departments, ten interdisciplinary programs, seven centers, the Social Science Research Laboratory, and one joint doctoral program. With over 420 permanent faculty and associated lecturers, the College is the largest of the seven colleges at San Diego State University and is responsible for 36% of the instruction at the University. There are approximately 60 clerical and technical employees in the college. The Dean’s Office is responsible for the implementation and continued support of the instructional, research, and development processes in the college.
The Dean’s clerical staff consists of three Administrative/Analyst Specialists and three Administrative Support Coordinators II. This position is responsible for providing daily coverage of reception desk and phone lines as well as clerical support functions. The position reports to the Director of Resources Management.
Under the general supervision and guidance of the Director of Resources Management, the Administrative Support Coordinator II serves as the public face of the College of Arts and Letters Dean’s Office to visitors in person and on the phone and will assure those operations in the front office proceed as efficiently as possible. The ASC II is responsible for multiple work assignments related to budget and financial activity for the Dean’s Office including the Technology Acquisition Review Process, for the college’s various departments, for CAL’s Systems Support Group, for the Social Science Research Laboratory, and for the Center for Brazilian Studies, using independent judgment and coordination with the campus community. The ASC II will assist the Dean’s Assistant in organizing the College’s standing committees and with routine internal events.

Full-time, permanent (probationary) position. This position is designated non-exempt under FLSA and is eligible for overtime compensation. Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
This position is physically located at the SDSU Main Campus in San Diego.

Education and Experience
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Preferred Qualifications

Budget experience
Experience coordinating administrative support functions for a group
Experience with data entry and updating database records

Specialized Skills

Proficient in Microsoft Office.

Compensation and Benefits
Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources. Starting salary upon appointment is not expected to exceed $3,800 per month.

CSU Classification Salary Range: $3,440 – $5,639 per month.

SDSU Vaccine Policy
In accordance with the California State University systemwide policy, students, faculty, and staff must be fully vaccinated against COVID-19 or provide a valid medical or religious exemption in order to access campus. An individual is considered fully vaccinated two weeks after their second dose of a two-shot vaccine or two weeks after the first dose of a single-shot vaccine.
The individual hired into this role will be required to submit their completed vaccination documentation to the university’s secure online health portal prior to beginning work. Individuals with an approved medical or religious exemption on file with the university will be required to participate in SDSU’s COVID-19 testing program.
