Salary: $70K
Location: Memorial City
Hours: M- F 8 am – 5 pm
Overview:
The Assistant Property Manager is responsible for assisting the Property Manager with managing a property (or group of properties) and fulfilling the manager’s obligations under the property’s management agreement while exhibiting legendary customer service when communicating with tenants, prospective tenants, owners, and vendors but also to focus on productivity and results.
What You Will Do in This Role:
Assist with all lease administration duties
View nightly security reports
Review and approve invoices
Coordinate monthly accounting close. Ensure AP closed and invoices received
Deliver invoices/statements
Assist in creating monthly/quarterly financial reports
Coordinate special tenant accounting related requests
Prepare weekly or monthly agendas for staff meetings and take meeting notes.
Prepare AR Reports
Follow specific guidelines on conducting initial meeting, collection calls and track follow-up
Schedule on-going monthly landscaping and janitorial inspections with vendor quality control representative to walk interior and exterior of buildings
Perform regular inspections on daily basis
Creation of annual and capital budgets on assigned properties
Preparation of monthly and quarterly management reports including variance and narratives on assigned properties
Work with the Property Manager to coordinate tenant improvement and capital projects
Interface with tenants and vendors in daily operations of the building
Initiate and execute day-to-day operational procedures including training administrative associate, porters and housekeeping
Respond positively and promptly to all tenant requests and lease inquiries.
Resolve problems to the mutual benefit of the tenant and the owner
Implement and monitor tenant needs assessments
Administer all leases assuring compliance with provisions/agreement
Determine and execute on timely basis escalations, reconciliations, and rent collections
Accurate and up-to-date maintenance of required financial records and files
Requirements:
Covid vaccine required
2 -4 years of recent property management experience (admin/leasing consultant/assistant manager)
High school diploma or GED equivalent. Degree a huge plus.
Business Management, Finance, Accounting or a Human Resource Management preferred
CPM, RPA or ACOM designation in progress· 5+ years of experience (admin/leasing consultant/assistant manager)
Engineering/Security/Janitorial will report to this person when Manager is out
Familiarity with real estate law, building codes as well as city and county regulations.
Must have advanced MS Word, Excel and Adobe proficiencies
MS Outlook, Nexus, accounting software such as MRI, IMPAK, or Tardi proficiencies
Excellent communication skills including answering phone
Background check
Ability to keep information strictly confidential
Strong desire to succeed in an entrepreneurial environment
Must be able to handle multiple projects, changing priorities and a continually heavy workload
Exceptional oral and written communication skills with a focus on customer service
