Job Description : Position Summary:
The Associate General Secretary serves as the chief operations director for Philadelphia Yearly Meeting and reports to the General Secretary. The Associate General Secretary is responsible for the direction of day-to-day staff work to execute strategies that further PYM’s mission and goals. This position supervises and integrates the work of program, communications, data, IT and facilities.

PYM is a regional (Eastern Pennsylvania, South Jersey, Delaware, and the Eastern Shore of MD) community of visible, welcoming, vibrant, multigenerational Quaker meetings (congregations) and worship groups united by shared understanding and shared practices described in our book of Faith and Practice. We are grounded in our meetings for worship with silent and vocal ministry reflecting our yearning for and direct experience of the Divine. PYM’s larger mission and goals are discerned by the PYM body meeting in Annual and Continuing Sessions and directed by the councils that serve as PYM’s board PYM operates under strategic directions adopted by the body in Annual Sessions in 2015.
Responsibilities:
Work closely with the General Secretary to set organizational goals in alignment with yearly meeting goals and drive operational strategy.
Develop plans, implement procedures and set measurable outcomes across all areas of responsibility. –
Directly supervise the Director of Communications, Program Director and Data & Logistics Coordinator, who in turn supervise 5 full-time and 10 part-time members of the communications and program staff.
Ensure program, communications and operations workflows are efficient, dynamic, effective, responsive and spiritually grounded. Ensure the activity of all of the staff is integrated and the staff needs are met. Establish and guide collaborative processes and clear communication practices.
Supervise daily operations and work with our IT and Friends Center partners on systems such as technology, data and facilities.
Support -the Councils’ (Board) strategic thinking and work with General Secretary and Chief Financial Officer to support the integration of the various aspects of PYM governance with one another in a common direction.
Work closely with the General Secretary and Chief Financial Officer on all matters related to business.
Work closely with the Director of HR and Inclusion and Director of Development, contributing as needed for success in their roles and collaborating as needed for success in operations.
Qualifications:
5+ years of executive level management experience, preferably in not-for-profit institutions. Experience managing multiple teams and multiple complex projects involving diverse teams of people and interest groups.
Financially literate and able to recognize the role of budgeting, risk management, compliance, and regulatory requirements in a nonprofit.
Deep understanding of the Quaker faith with established relationship to the Quaker community; extensive experience with Friends’ meetings; knowledge of Quaker principles and practice; experience with committees and a consultative process.
Established ability to move from ideas and vision to successful outcomes. Ability to listen well while identifying the needs of users and guiding them to a positive outcome. Ability to manage stakeholders’ expectations and communicate clearly at all levels.
Demonstrated strong track record of building a culture of trust among staff.
Knowledge of Director of Communications responsibilities, able to supervise and support marketing and communications practices that result in engaging communications that are meaningful to a wide audience.
Knowledge of Program Director responsibilities, able to supervise and support programs targeted to PYM constituents and to community organizing practices that engage, inspire and lead to effective action.
Knowledge of Data & Logistics Coordinator responsibilities, able to supervise and support – internal systems – such as technology and databases.
Effective and engaging communicator with excellent speaking and writing skills.
Able to lead on racial equity concerns with a sophisticated understanding of how race dynamics impact supervisory relationships and organizational culture. Committed to deepening their own racial justice work and to the PYM staff vision to become an anti-racist, inclusive and equitable organization.
Strong sense of responsibility, self-motivation, and a positive attitude. Demonstrated ability to think creatively, problem-solve, and develop innovative ways to deliver results with limited resources.
Time and Travel Expectations: This is a full-time, exempt position. Full-time at PYM is 35 hour per week. Work days are typically 7 hours and time can be flexed to begin and end at times that meet work and personal needs. Currently staff work remotely. Prior to the pandemic staff worked from home on Mondays and Fridays if desired and if work tasks could be done remotely. Ability to travel throughout the four-state region of PYM and to work evenings and weekends several times a month. Attend the 5-day gathering (Annual Sessions) held in residence on a college campus in the summer.
Compensation and Benefits: The salary range is $100,000-$105,000. Benefits include medical, dental and life insurance, a 403(b) retirement plan with 7% employer contribution plus 3% match, generous paid time off including vacation days (20), personal days (4), holidays (11) and sick days (12), flexible work schedule which allows some work from home.
Note: All Philadelphia Yearly Meeting staff members work in a collaborative manner to support the concrete and spiritual goals of the Yearly Meeting as a whole. In that context, all are expected to be flexible, collegial, and willing to accept a variety of assignments
