Job Description : AZWorkSPACE Administrator exists to transform the way the State of Arizona connects its employees to the workplace. The position will provide engagement, creativity, and technology skills as the State transitions to alternative work schedules. The need for shared workspaces has increased, and with it, opportunities to create the future of workplace environments. As the AZWorkSPACE Administrator, this role will facilitate the use of the new workplace environment to achieve a greater sense of community. This position will also serve as a resource and influencer by helping employees gain a greater understanding and appreciation of the shared workplace culture. You will be creating a new way of business as a self-directed individual that’s personable and enjoys educating and engaging customers in the use of the State shared spaces.

Job Duties:

Serve as the primary contact for the state shared spaces program. Responsible for managing, improving, and leveraging relationships within the co-working space. Numerous face to face, telephonic and written exchanges; scheduling; greeting visitors and vendors; providing on-site training, assigning workstations; support and demonstrations of technology and resources; and troubleshooting with a positive and solution focused mindset.
Administer and execute all marketing campaigns and engagement through email, phone and social media platforms. Serve as an expert of the local community by constantly researching local events, businesses and other opportunities to experience and engage with the community. Coordination with the TRP program manager and the ADOA Communications Team when appropriate.
Act as facility manager for ACWSPACE. Provide basic badging support; ensure a clean and safe environment; submit work order requests; report suspicious behavior in and around the facility; stock inventory and supplies; troubleshoot connectivity and IT issues; receive and distribute mail; and ensure local vendors deliver without disruption.
Maintain the space booking software as the administrator, Cultivate the booking software system and continuously evaluate solutions and implementations, Manage users of the space booking software. Perform space utilization analysis using software tools, Conduct surveys on space utilization,
Explore opportunities to partner by understanding the agency’s needs to support their employees’ challenges. Encourage and sustain use of the ACWSPACE, conducting on-site tours and sharing amenities. Partner with associates to encourage use of shared space.
Provides intermittent assistance to the ADOA Human Resources Division (HRD) Travel Reduction Program (TRP) such as retaining and distributing marketing materials at AZConnectedWorkSPACE and directing others to TRP resources.
Assist with light data entry and other administrative tasks
Other duties as assigned as related to the position.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:

Proficient in use of standard office equipment and Google applications (Calendar, Chat, Docs, Drive, Mail, Maps, Sheets, etc.) Advance user of all office equipment, software, meeting and office technology
Technical troubleshooting, ability to troubleshoot complex office problems
Exceptional organizational, multi-tasking, and follow through skills
State, city, and county rules, regulations, policy, procedures, and inventory systems.
Principles and practices of effective public administration, programs, rules, regulations, policies, and procedures
Customer service operations, policies, procedures, and protocols
Office procedures and customer service techniques

Determining the needs of the units, and responding with appropriate administrative action

Coordinating work flow within unit
Developing quality unit rules, policies, and procedures
Answering requests that come in the form of telephone, e-mail, mail, and walk ins

Selective Preference(s):

A Bachelor’s degree with a major in business or communications from an accredited college or university.

Pre-Employment Requirements:

Background and reference check, including a state and federal criminal records check
Requires possession of and the ability to retain a current, valid state-issued driver’s license appropriate to assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any required driving training (see Arizona Administrative Code R2-10-207.12).
