Job Description : JOB DESCRIPTION FOR CORPORATE COMMUNICATIONS ASSOCIATE
1. As corporate communications associate, you will be responsible for all assisting and managing

all aspects of publicity, promotion and public relations in relation to the Company and to the

books/journals published by it. This will include proposing new techniques and methods for

assisting in publicizing the Company’s activities and its publications. You will report to the

Marketing manager – Academics and PR.

2. You will be working as per a weekly task list which will be aligned to the approved plan of

activities for PR and Marketing as a whole. You will submit a daily as well as a weekly report to

the supervisor, detailing tasks completed along with timelines. The report shall also highlight

any deviations from planned activities along with reasons for the said deviations.

3. You will report against the plan on a weekly and monthly basis or at any other times as may be

communicated to you by your supervisor. The primary reporting shall be to your supervisor but

may include others that are necessary for meeting the company’s objectives.

4. You will be responsible for assisting the publicity, promotion and marketing of the entire basket

of books, journals and online products published by SAGE in India and globally which includes:
A) Review List- A critical part of your PR activity includes sending out books for review to India

publications. This will require you to do the following:

i. Review list– India: Looking through author suggestions in APF for publications in

India and South Asia.

a. Preparing the India review list in CRM for academic and textbook which
includes, magazines, dailies, journals, book bloggers, influencers etc. Incase

of retail titles, liaise with the PR agency to ge the list on time and get it

approved by author and mail the copies out through dispatch.
b. Discuss the list with your supervisor and seek approval for indented copies.

c. Contacting the publications selected for review to confirm their interest in
reviewing the book

d. Printing out the labels and liaising with the dispatch team to send
out the copies for review.

e. Once the books are dispatched, follow-up for review and publicity.

f. This also include single copy requests received for reviews which must be
added to the review list post sending the book.

ii. CRM

a. Update and maintain the CRM records with updated address, contact
number and email id.

b. Continuously clean the data to deactivate any dead contacts.

c. Exploring new avenues where books can be sent for review. Add to the
existing list in CRM to grow the list monthly.

B) Review List – Inc and Ltd: A critical part of your PR activity includes sending out books for

review to Inc and Ltd journals/publications. This will require you to do the following:
Looking through author suggestions in APF for Inc and Ltd journals.
Exploring new and relevant journals where the book can be sent for review
Preparing the Inc and Ltd list for each title
Contacting the journals selected for review to confirm their interest in reviewing the
book.
Discuss the list with your supervisor and seek approval for indented copies
Send out the soft-copy of the book overseas to generate reviews.
C) Media Relations: You are expected to build, maintain & enhance new / existing

relationships with media personnel/journalists contacts in relevant media publications

which will help you to execute PR strategies for SAGE books successfully. This involves
a. This involves one-on-one interaction with the journalists through calls or through

monthly meeting.
b. Identify / pitch story opportunities to esteemed publications and journalists on

SAGE books (Except retail)/ SAGE as brand or for senior management group.
c. Monitoring media and creating and updating print / electronic / online extensive

media list
d. Conducting media research & mapping

D) Social Media: You are expected to handles all the social media activities for SAGE. This

involves Social Media Marketing through social networking forums such as Facebook;

Twitter; LinkedIn, You tube, Instagram, SAGE India Blog, LinkedIn showcase pages etc

The social media activities are here referred to as:
Weekly scheduling of posts: Coordinate with the respective product specialist
for their weekly post on a timely manner
Create the content for reviews posts achieved in media publication.
Weekly/Monthly report on Social media
Responding to queries received online
Follow authors through SAGE ID and share their posts
Responsible for brand awareness and promotion to gain their audience
satisfaction and to engage them
Planning of marketing strategies to help drive traffic and engagement
Keep up to date with any Social Media Trends and bring on board good practices
to grow SAGE’s social media presence
Identifying opportunities to promote SAGE products on suitable online
fora/platforms.
Posts events pictures with caption on social media
Upload author video on Youtube and execute video marketing strategies.

E) Event Management: You will be responsible in assisting for the complete organization of

book launches/ Major book fairs (WBF, KBF), Annual lectures/conferences/ marketing lead

sponsorship events held in New Delhi and other parts of the country. This would include

taking care of all aspects with regards to—
i. Book launches:

a. Choosing and booking an appropriate venue.

b. Sending out the copies of the book to Panelists and Chief Guest

c. Catering at the venue-Hi Tea, Cocktails or dinner.

d. Payment coordination with finance

e. Preparing the text of invite, backdrop and standee etc and coordinate with
the design team to get the same designed

f. Liaising with the vendor to get the finished product and timely installed at
the venue.

g. Ensuring inside the hall requirements like name placards, wrapped copy etc

h. Liaising with the Sales team for ensuring a good display

i. RSVP: calling whenever required and sending emails to ensure a good
attendance

j. Assisting in arranging for media coverage/preparing press releases

k. Other items listed in the checklist prepared for such events (attached).

l. Informing the photographer regarding the event and Post event follow up
for the pictures and video of the event

Conferences/Book Fairs: You will be required to maintain a calendar of events for
all the Conferences and Book Fairs held annually all over the country. You will also

be working closely with the sales team for their requirements regarding

participation at various such events

Marketing led sponsorships event: Maintain a complete record, get the necessary
approvals before these are filed with accounts. Liaise with the organizers and get

the necessary paperwork through. Coordinate disbursement of payments through

cheque, wire transfer or DD.

MOU’s: in cases where we get into agreements for co-hosting/partnership,
ensuring a proper MOU is prepared and signed by the concerned authorities. This

would also need to be approved by the AVP Marketing/HOD.

World book fair (WBF)and Kolkata book fair (KBF):
a. Liaise with NBT for stall booking at WBF and with Kolkata sales team for
KBF.

b. Collateral Requirements: work on the layout and design plan for the same
on receipt of the allotment received from the organizers. Coordinate for

collateral in close coordination with the academic, design team and after

discussion with your supervisor.
c. Vendor management: work closely with various vendors for the stall size,

layout and design and other collateral/branding to be placed outside.
d. Other items listed in the checklist prepared for such

conferences/book fairs (attached).

F) PR agency coordination:
Liaise with PR agency to receive list for all retail titles in consultation with the
senior.
Coordinate for media interactions generated by PR agency with the
authors/excerpt opportunities or authored article
Sending out permission email along with excerpted pages
Keep track of the reviews and analyse the monthly report received from the
agency.
Respond and take action on email received from the agency by acting as a main
nodal point of contact.

G) SAGE India website: on the home page there is a section that features videos and author of
the month. You need to ensure that the most current videos/interviews are uploaded on

the same. This activity will be closely monitored by your supervisor and appropriately

shared with the web solutions team to ensure timely changes are incorporated on the

website.

H) SAGE PResents: A quarterly newsletter, you are responsible for collating the content and
liaising with designer and web team for timely scheduling of the emailer.

I) Monthly/Quarterly/Yearly PR report: List all the events, media publicity achieved for

various vertical and the cost accrued on events. The report will also an internal analysis

report on the performance of PR vis-à-vis last year.

5. You are expected to gain full knowledge of all the systems used by the organization to keep
yourself abreast with all the latest requirements and should be willing to undergo training as

and when necessary.

6. You will be responsible for the fulfillment of all activities/tasks assigned to you and take them
to completion. This would include coordination with the vendors; sales team; accounts;

dispatch and various others with whom you may need to work closely to coordinate the same.

7. You will carry out any other activities in addition to the above as and when needed and
instructed by your superiors.
