Job Description
An employee in this class will serve in a staff capacity as an assistant to the manager of the Civil Filing Center. Work is performed under the direction of the manager and the Deputy Court Administrator of the Office of Judicial Records. This is administrative work of limited scope and difficulty in the Court service. An employee in this class may serve in a staff capacity as an assistant to an administrator
Essential Functions
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

Assists in supervising, providing work direction and training to subordinate staff.
May plan, assign and supervise work of subordinate staff.
May provide work direction and training to subordinate staff or volunteers.
May review work of subordinates for accuracy and completeness and evaluate employee performance
Assists in reviewing work of subordinates for accuracy and completeness; prepares reports on same.
Assists with written preparation of procedural instructions for subordinate staff.
Assists with research and preparation of departmental reports.
Collaborates with the manager to assess implementation or update of procedures to ensure success of programs administered by the departments.
Delegate’s routine situations to staff and responds directly to more complex situations or complaints.
Recommends resolutions to the manager regarding procedural problems associated with the departments.
Assists clients and general public in person and via telephone.
Prepares and collates weekly, monthly, or annual reports and drafts correspondence.
Responds to written and verbal inquiries from judiciary, judicial staff, other divisional employees, attorneys, and public regarding departmental processes and procedures.
Investigates complaints and issues from other offices and the public.
Interacts with judiciary, judicial staff, attorneys, outside organizations, and the public.
Responds to Electronic Filing System support inquiries.
Utilizes personal computer and software applications for word processing, spreadsheet, and database functions to prepare documents, spreadsheets, and records.

MARGINAL FUNCTIONS:

Maintains supply and equipment inventory for office and orders supplies as needed.
Performs related duties as required.

ENVIRONMENTAL CONDITIONS:
Normal office conditions are standard for this class.

Considerable knowledge of the court’s civil case management and electronic filing systems.
Considerable knowledge of the Rules of Civil Procedure.
Considerable knowledge of department standards, procedures, and practices.
Knowledge of office management standards, procedures and practices.
Knowledge of supervisory methods and practices.
Considerable knowledge of English usage and grammar.
Proficient customer service skills.
Some knowledge of principles, standards, and goals of administrative organization and management.
Ability to assist in the supervision of a moderate size group of clerical and technical employees engaged in varied tasks.
Ability to represent the department in conferences and meetings with public and private officials.
Ability to provide information clearly and concisely both verbally and in writing.
Ability to formulate and articulate a vision for the department.
Ability to supervise a staff engaged in varied clerical functions.
Ability to understand, carry out and communicate effectively to subordinates and/or associates new or changed procedures and operations.
Ability to establish and maintain effective working relationships with associates and the general public.

Qualifications
REQUIREMENTS:
1. A bachelor’s degree from an accredited college or university and one (1) years of administrative experience.
OR
2. Equivalent combinations of training and experience providing the characteristics required to perform the essential functions of the class may substitute for those listed above, with a minimum of a bachelor’s degree from an accredited college or university.
3. After meeting minimum standards, successful completion of a panel review and interview process.
4. City residency required within (6) months of satisfactory completion of an

employment orientation period.

6. Must successfully complete a criminal(financial) background investigation.
7. Ability to perform the essential functions of the position.
8. Proof of Covid-19 Vaccination is required.

Salary Range: $42,520-$46,778
