Job Description : Summary

The Events Administrative Assistant supports the Events team across a wide range administrative duties such as fielding phone and internet inquiries, proposal and contract preparation, creating files for accounts, managing deposit and payment schedules, contacting clients to secure planning details, and detailing banquet event orders and group resumes. This role works closely with the Event Planning and Events Sales Managers for a holistic approach to service with additional efforts including hosting site inspections as needed, room block management, arranging details of tastings, hospitality amenities and fulfilling special/VIP requests.
This position would suit an experienced multi-tasker who thrives in a busy environment. To be successful you must have above average skills in MS Office, a can-do attitude, sharp attention to detail, excellent communication and presentation skills, and the ability to take initiative when required. Your ability to prioritize and identify deadlines both internally for the team and externally with clients, and delivery on these due dates is another key responsibility.

Qualifications

Excellent organizational and time management skills
Must be proficient in general computer knowledge with an aptitude to learn new software
Minimum of high school education, post-high school education preferred
Minimum of one year in hotel, country-club or equivalent experienced preferred
Ability and willingness to work full-time hours, mainly Monday – Friday, but sometimes weekends for client events
