Position : Events Coordinator

Job Description : At the San Diego Automotive Museum, the Events Coordinator plans and manages private events and assists with various other museum events including car rallies, cruises, car shows, and more. Reporting to the Director of Exhibitions and Events, the Events Coordinator engages with the community as a representative of the San Diego Automotive Museum to bring awareness of and opportunities to the Museum.
Primary Responsibilities

Plans museum event details and coordinates day of event activities.
Manages all event operations (preparing venue, invitations, set up, tear down, assist with staffing plans, etc.).
Performs final checks at each event to ensure everything meets museum/host standards.
Establishes and maintains the budget for each event ensuring costs remain under budget.
Establishes and maintains relationships with vendors and venues.
Schedules and performs off-site rental venue tours.
Negotiates with vendors to achieve the most favorable terms.
Assists with securing sponsorships for events and identifying events for the museum to sponsor.
Creates event financial reports and ensures timely collection of revenue and payments.
Plans for potential scenarios that could impact the integrity of the event and immediately addresses potential problems that may arise.
Maintains a working knowledge of the complex needs of a wide variety of events.
Coordinates with internal stakeholders for membership and volunteer appreciation events, event staffing, and other event details.
Manages museum rental space and reservations for conferences, weddings, birthdays, anniversaries, etc.
Assists in editing and designing promotional materials and event collateral.
Creates invitee lists, manages invitations, and maintains RSVP list.
Assists with, participates in, and attends Museum events.
Takes ownership of assignments associated with Museum events.
Performs other duties as may be assigned.

Required Skills and Experience

Bachelor’s degree in marketing, hospitality, or a related field preferred
A minimum of two (2) years of experience in event planning
Ability to perform job duties with minimal guidance or instruction
Substantial portfolio of successful planned events
Creative self-starter, able to work effectively alone and with others
Excellent relationship-building, vendor management, and negotiation skills
Outstanding verbal and written communication skills for professional communications
Excellent organizational, problem-solving, critical thinking, and multi-tasking skills
Able to handle stress and remain calm while managing multiple projects and tasks
Experience working with Microsoft Outlook, Word, Excel, PowerPoint, Salesforce, Mail Chimp, and Constant Contact
Knowledge of, interest in, and or obsession with automobiles, automobile history, and the automotive industry is a BIG PLUS
Prior Balboa Park experience and knowledge a plus

Typical Physical Demands
Working at desk/workstation for extended periods of time. Frequent walking, standing, stooping, bending, climbing stairs, and lifting/carrying/pushing up to 40 lbs.
Typical Equipment Used
Regular use of computer, printer, telephone, and other standard office equipment.
Position Details
This role is a part-time, 30 hours per week, nonexempt position. The work schedule is flexible and regular evenings and weekends are to be expected. Pay range is $22.00 – $27.00 per hour, commensurate with skills and experience.
