Executive Administrative Assistant
Job Summary:
The Executive Administrative Assistant position reports to a C-suite executive. In this role, you will serve as the primary business and personal assistant to a member of the company’s leadership team, providing effective administrative support for the coordination and management of projects and initiatives associated with the office and with day-to-day needs. You will act as a gatekeeper for the executive’s time, managing and facilitating calendars, coordinating meeting schedules, and helping with supporting materials. You will enjoy working collaboratively with a diverse group of internal and external stakeholders and serving individuals at all levels of the organization.
Ability to deal with confidential and sensitive information professionally and with discretion is a must.You will apply independent judgment and a self-directed workstyle to plan, prioritize, and organize a varied workload. You will be exceptionally organized and detail oriented, with a high level of flexibility to pivot with ease. Capacity to work independently and as a contributing team member. Must be a self- starter, problem solver, and demonstrate ability to take initiative. You will be comfortable working with ambiguity as part of the process and be a detail-oriented, positive team player with the ability to juggle multiple projects at one time. INOLEX is an independent business, and this role will provide administrative support for a wide range of needs within the company, with broader external engagements, and with personal administrative matters.
Superv isory Respons ibi l i t ies :

Duties/Respons ib i l i t ies :

Provides high level professional support with a diverse range of executive-level administrative needs.
Supports executive leader to help him/her be more productive and effective in day-to-day and long-term operations.
Reflects, articulates, and upholds the mission, vision, and values of the organization.
Manages calendars and logistics including coordinating weekly and monthly meetings.
Follows-up on meeting decisions, preparation, and deliverables.
Provides assistance in personal family and personal business matters when needed, approximately 30% of role.
Manages event catering and meeting logistics.
Schedules and organizes travel, conferences schedules, and department activities.
Takes notes and organizes meeting information, including assisting with the coordination, proofing, and printing of presentations.
Assists with employee recognition, gifts, and other touch points.
Provides concierge level service for events and special guests as needed.
Tracks emails and deliverables of projects, providing progress reports and milestones to allow proactive management responses.
Serves as point of contact for executive leader in his/her absence.
Establishes, develops, maintains, and updates electronic file system.
Assists with writing, editing and project management. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information as well as opening and sorting mail.
Composes general correspondences, memos, tables, graphs, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes where needed. Responsible for accuracy and clarity of final copy.
Supports executive leader with financial matters, including processing credit card expenses and coordinating with finance department as needed.
Supports executive with tracking legal matters, including ensuring documents are prepared and signed by deadlines.

Education and Exper ience:

Minimum of 5 years of related experience.
College Degree.
Experience as an Executive Administrative Assistant, B2B or B2C industry, and/or beauty care or personal care industry are preferred but not required.
Excellent editing and project management skills are required.
Capacity to work independently and as a contributing team member. Must be a self-starter, problem solver, and demonstrate ability to take initiative.
Exude a service mindset and apply high service standards in all aspects of work, including working with internal and external stakeholders.
Comfortable working with ambiguity as part of the process and be a detail-oriented, positive team player with ability to juggle multiple projects at one time.
Proficient technology skills including Microsoft Office.

Phys ica l Requirements:

This position will be hybrid, at least 2 days work from home. Must be able to work at a computer approximately 8 hours per day.
Occasional travel to Philadelphia, PA and/or Charlotte, NC as needed, approximately once every month.

Job Type: Full-time
Pay: $29,192.00 – $77,023.00 per year
