Headquartered in San Diego, California, we are committed to the success of our clients and their customers, and pride ourselves on meeting the needs of those with Limited English Proficiency.
Our clients are public & private sector (healthcare, education, legal, etc.) who need translation and interpreting services to connect with the people they serve. We match them with our language experts throughout California, covering over 200 languages.

The Executive Assistant will be responsible for:

Acting as the point of contact among management, employees, clients, and other external partners
Managing information flow in a timely and accurate manner
Managing Presidents’ calendars and sets up meetings
Coordinating operational matters such as building maintenance/repair, office equipment and purchasing.
Identifying opportunities for process and office management improvements, and designing and implementing new systems.
Scheduling and coordinating company meetings and events.
Ordering company lunches including employee birthday and anniversary meals
Partnering with HR for onboarding and offboarding employees in the areas of software tools administration, software access, hardware purchase, and company phones
Addressing employee queries regarding office management issues (supplies, hardware issues, IT issues, etc.)
Formatting information for internal and external communication – memos, emails, presentations, reports
Taking minutes during meetings
Screening and directing phone calls and distributing correspondence
Occasionally providing personal assistant type support to the company president

Have 5+ years’ experience as an Executive Assistant, Personal Assistant or similar role.
Have excellent MS Office and Google Suite knowledge
Posses outstanding organizational and time management skills
Are highly proficient with office gadgets and applications (e.g. e-calendars)
Are able to communicate effectively and professionally
Are comfortable with handling confidential information and using discretion.

Work Environment
This job operates in a business casual environment. Or better yet – we have fun, but we get the job done. Our group is made up of positive, passionate, and persistent people who all believe in the company mission to make the world more inclusive through language and technology. We currently have about 15 team members working in the office, and 30+ team members working from home. Prior to COVID-19, we would regularly get together after-hours for hang outs, company parties, and volunteer events. We are looking forward to resuming those activities in the near future.
Position Details
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m., with some flexibility allowed. The department currently works in-office with proper safety measures in place.
