Position : Executive Assistant
Job Description : The North Central Texas Council of Governments Workforce Development Department is seeking an Executive Assistant to provide planning, technical, and administrative assistance to the Workforce Development Department director. This position will serve as a liaison between the director and Agency membership, external organizations, the general public, and staff. The individual in this position must be flexible and able to adjust schedule to accommodate director’s needs and schedule. All submittals should include a cover letter summarizing work experience, as well as a current resume.Responsibilities may include, but are not limited to, the following:
Maintaining the director’s calendar, including scheduling/coordinating meetings, appointments and speaking engagements; managing and resolving scheduling conflicts; keeping director on established schedule; and anticipating and preparing information for meetings/events
Providing proactive and timely customer service to Agency membership, external organizations, the general public, and staff
Developing and maintaining communications and effective working relationships with elected officials, managerial and executive staff, and external boards and agencies on behalf of the director
Attending meetings in absence of the director, taking notes, analyzing and summarizing meeting activities, briefing the director, and following up on actions needed
Drafting, compiling, reviewing, and distributing various department correspondence, presentations, and reports, including confidential and sensitive documents
Coordinating and processing travel arrangements and reimbursements for director, elected officials, and/or commission members
Supporting meeting/committee activities or special events; including drafting of notices or agendas for approval; maintaining membership records; ensuring appropriate accommodations; documenting attendance and proceedings, as needed; and following up on meeting actions
Providing planning and technical support, including review of materials prepared for the director’s signature, ensuring legal staff has reviewed when warranted; assisting director with confidential personnel actions as requested; and conducting research on a variety of issues/topics as requested
Organizing both electronic and hard copy mail, highlighting important information and/or need for director to respond, and filing documents in accordance with records management guidelines
Providing assistance in ad hoc special events, projects, or programs as assigned
Required Skills
Advanced knowledge of Microsoft Office Suite, especially PowerPoint and Word
Exceptional communication skills, both written and verbal
Self-motivated
Detail-oriented, highly organized, and ability to multitask
Ability to work both independently and in a team environment
Excellent interpersonal and sound judgement skills
Critical-thinking and problem-solving skills
Required Experience
Broad knowledge in a general professional or technical field, normally acquired through four years of college resulting in a Bachelor’s degree
At least one year of job-related experience
FLSA: Non-ExemptSalary Range: $42,244.00 to $68,960.00 annually, depending on experience and qualifications.NCTCOG is an equal opportunity employer/program.
