SUMMARY OF DUTIES:
This position reports to the Chief Logistics Officer, P&MM and provides administrative and secretarial support to ensure efficiency and effectiveness of the day-to-day operations of the office. The incumbent is responsible for all administrative functions including, but not limited to, correspondence preparation and editing, scheduling, meeting preparation, liaison to the Chief Financial Officer Finance and high-level staff. Also must prioritize and route action items, coordinate travel plans, hotels and car service and maintain calendar. Handles confidential/sensitive information and works on multiple projects in a fast-paced environment.
ESSENTIAL FUNCTIONS:
Provides administrative and secretarial support to the office of the Chief Logistics Officer, P&MM or Deputy Logistics Officer, Mat’l Mgmt.Acts as liaison with other departments and outside agencies, including high-level staff such as CEO’s, Presidents, Senior Vice Presidents and Chiefs.Composes, edits, and assists in preparation of all correspondence.Coordinates travel plans, hotels, and car service; and maintains calendar.Works on multiple projects in a fast-paced environment and deals with confidential/sensitive information.Coordinates and prepares all board requested items, reports, etc. Interacts with senior staff members to obtain all pertinent information required.Acts as backup to Sr. Manager Budget Planning for initiation of staff summary actions, monthly performance reports and follow-up on personnel actions.Responsible for department Verizon and Nextel telephone accounts which requires monitoring and reviewing activity and making sound decisions in regards to expenditures.
MINIMUM QUALIFICATIONS:
High School diploma.Demonstrated knowledge of secretarial, office administration procedures and knowledge and use and operation of standard office equipment.Demonstrated analytical ability in order to gather and summarize data for reports, find solutions to various administrative problems and prioritize work.Must be attentive to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.Extensive knowledge (intermediate to advanced) of business, secretarial, office administration procedures including word processing, spreadsheets, graphs and charts.Typing minimum of 55 WPM.Must have a high level of interpersonal skills to handle sensitive and confidential situations. Must possess demonstrated poise, tact and diplomacy.
PREFERRED QUALIFICATIONS:
Bachelor’s degree in Business Administration or advanced secretarial courses.Strong management skills.
COMMUNICATIONS AND INTERPERSONAL SKILLS:
Must have excellent oral and written communication skills.

If an applicant/employee refuses to provide written consent for Amtrak to obtain these records, the individual will not be permitted to perform safety-sensitive functions.
