Job Description : The facilities and exhibitions manager will serve as a leader within the School of Architecture to supervise the overall management and operations of the Rice Architecture facilities. This includes oversight in the use and care of the building(s), coordination of custodial and maintenance work requests, and ongoing evaluation of the facilities for continued operational effectiveness. This position will be an integral member of the school events team, managing event setup, breakdown, and coordinating audio/visual needs. The position oversees the execution of exhibitions, including setup and breakdown, working collaboratively with key parties to complete. This position is exempt, and the salary range is $50,000 – 55,000, commensurate with experience. Serves as property operations / maintenance project manager for facilities issues in the assigned buildings, working collaboratively with Rice’s Facilities, Engineering, and Planning (FE&P) department to execute and meet the overall needs and efficiency of the building
Handles property administration by completing tagging, data entry and inventory; purchase orders, receiving and completing record keeping, tracking, information gathering and support for space allocation decision makers
Implements facility security programs by distributing keys, providing building access, monitoring access records, assessing security infrastructure needs, (security cameras, interlocks, alarms); and assessing and changing access schedules
Completes project coordination
Serves as safety management coordinator; conducting safety training and/or new employee facility orientation; and participating in emergency preparedness, recovery and business continuity coordination
Coordinates communications services
Provides updates, alerts, notifications to building occupants, including websites, phones
Oversees mailing services, shipping and delivery
Coordinates space management and planning activities including management of meeting rooms and availability
Performs all other duties as assigned

Additional Functions

Assists with project management and execution of special projects as assigned, serving as a point of contact for vendors and contractors and acting as the primary contact for day-to-day work relating to the school’s building expansion and renovation projects.
Under general supervision, assists in the planning, preparation, and installation of exhibits, art collections, or other display materials. Designs and constructs display materials as required. Coordinates the packing, moving, maintenance, and security of collections.
Provides and oversees event setup and breakdown support for internal and external events, including communication with event organizers and coordination of resources to support operations. Acts as the departmental resource for audio/visual needs.
Adequately plans and schedules corrective action and preventative maintenance plans, including janitorial and cleaning schedules, including heavy trash schedule.

Requirements

Associates Degree

In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year for year basis may be substituted.

One year of general maintenance and project management experience
Excellent verbal and communication skills
Ability to coordinate and manage multiple projects with competing priorities, meet deadlines and project plans with short and long term end dates
Working knowledge of applications such as Excel, Word, Project
Experience working with internal and external vendors and services contracting
Background knowledge of safe handling and disposal of chemicals and hazardous waste; emergency plans and their implementation; and property administration specific to PO tracking, receiving, and inventory control

Preferred experience

Two years of general maintenance and project management experience
Moderate repair knowledge and proper use of associated tools and equipment
Moderate knowledge of audio/video systems
Ability to communicate at many levels both oral and written
Ability to manage multiple priorities

Physical Demands
The facilities and exhibitions manager should be able to climb stairs, stoop, kneel, crouch, crawl, and lift up to 50 lbs without assistance
Essentials Personnel
This position is considered essential during a campus emergency and is expected to support campus during emergency situations, and may be required to provide related essential services remotely or on site before, during or after a campus emergency.
