Position Overview
Guest Service Agents responds in a professional and courteous manner providing outstanding customer service to arriving, departing, and in-house guests by providing accurate and timely information and services.
Essential Job Functions

Responds to telephone and in-person inquiries regarding reservations, hotel information, and guest concerns.
Greets and completes established check-in procedures for arriving guests on a daily basis, using both manual and computerized methods, in order to ensure guests are satisfied and in rooms as requested.
Facilitates guest departure (check-out) on a daily basis by following established manual and computer procedures in order to close guest accounts and open the room for the next sell.
Regularly calculates and/or posts monies, receipts, guest accounts and other forms of credit using accurate, proper cash handling methods and established procedures in order to present the customer with timely and precise hotel charges upon check-out and maintain accurate hotel records.
Courteously answers inquiries and accepts reservations, both in person and by telephone, by accurately communicating hotel rates and information and by using suggestive selling techniques to sell room nights, increase occupancy and revenue.
Maintains good customer relations by keeping abreast of all in-house and area functions in order to answer questions and concerns with timely and knowledgeable responses, in person and on the telephone.
Operates the PBX equipment by accepting incoming calls, assisting outgoing calls, scheduling and setting wake-up calls and paging guest to provide the guest with timely and efficient service.
Assists in preregistration and blocking of rooms for reservations.
Controls cash transactions at the front desk and maintains complete responsibility for personal bank as specified by hotel bank agreement policy.
Understands room status and room status tracking.
Knows room locations, types of rooms available, and room rates.
Uses suggestive selling techniques to sell rooms and to promote other services of the hotel.
Coordinates room status updates with the housekeeping department by notification housekeeping of all checkouts, late checkouts, early check-ins, special requests, and day-use rooms.
Possesses a working knowledge of the reservations department. Takes same-day reservations and future reservations when necessary. Knows cancellation procedures.
Follows procedures for issuing and closing safe deposit boxes used by guests.
Processes all guest mail, messages, and faxes by receiving, sorting, notifying and distributing to mailboxes and to guests in order to ensure the information is received by the guests in the most timely and accurate method possible.
Reads and initials the pass-on log and bulletin board daily. Is aware of daily activities and meetings taking place in the hotel.
Provides assistance to other employees and departments to contribute to the best overall performance of the department and the hotel.
Reports any unusual occurrences or requests to the Department Head or assigned representative.
Knows all safety and emergency procedures, is aware of accident prevention policies.
Maintains the cleanliness and neatness of the front desk area.
Check-in/out guest luggage (carry, push, pull and pushing luggage)
Contributes to team effort by accomplishing related results as needed.

Requirements

Able to problem solve in order to effectively deal with internal and external customers.
Due to the cyclical nature of the hospitality industry, Team Members may be required to work varying schedules to reflect the business needs of the hotel.

Other Skills/Abilities

Computer literacy
OnQ Knowledge preferable
Phone etiquette is required.

Pre-requisites:

Education: High school graduate or equivalent.
Communication: Must speak, read. Write, and understand the primary language used in the workplace. Must be able to speak and understand the primary language used by the guests who visit the hotel.
Experience: Previous hotel-related experience desired.
Physical: Requires fingering, grasping, writing, long periods standing, sitting, walking, repetitive motions, hearing, visual acuity, have to lift and carry up to 50 pounds.
