We are looking to add an HR Coordinator & Office Assistant to our team to help us with day-to-day office and HR duties as well as special projects. In this role, you will serve as a support resource and assistant to the Executive Assistants and HR team by performing general office, clerical/admin, and HR duties.
Admin & Office Assistant Responsibilities:

Light receptionist duties including greeting visitors at the door and answering phone calls (minimal)
Provide office tours for new hires, clients, and/or prospective employees
Supports facilities related duties including coordinating with IT for badge access
Request and pick up parking badges and/or validations as needed
Track and follow-up on the use of the athletic club badges
Verify vaccination status for any employee/visitor that comes on-site
Monitor and order office supplies and/or food/drinks as needed
Ensure cleanliness of break rooms and balcony/patio areas
Receive, sort, and deliver mail and packages
Order lunches as needed, including picking up orders and delivering to appropriate departments
Adhere to company policies, specifically ensuring the security of confidential documents
Assist in cubical moves and/or preparing a cubical/desk for a new employee
Prepare conference rooms for in-person and/or virtual meetings
Regularly participates in and plans all employee events, sometimes outside the scope of normal work hours
Act as a liaison for key team members who are not in the office on a daily basis
Schedule meetings for HR and other VPs as needed as well as serve as a calendaring resource for the EAs in times of either high demand and/or during vacation/absences.
Obtain, track, and provide receipts as well as submit monthly expense reports to AP for reimbursement.
Other duties as assigned

HR Coordinator Responsibilities:

Performs customer service functions by answering employees’ requests and questions
Assists with recruitment and interview processes, including scheduling candidates for interviews (JazzHR)
Coordinates with management and HR to onboard new employees, including but not limited to:

Submit background checks, conducting candidate reference checking, submitting IT request tickets and entering/updating the employees’ profile in our HRIS system
Verifying documents for new employees I-9 forms
Print name tags and set-up at employees’ cubical/office
Welcoming new employees on their first day in the office

Assist with bi-weekly payroll processing, including reviewing and preparing timekeeping reports
Run reports in HR/payroll systems (i.e. Namely) and follow-up with employees for outstanding items as applicable.
Update employee profiles with applicable changes (i.e. new job titles)
Assists or prepares correspondence, employee surveys (Typeform), and/or light design editing (Canva)
Assists in HR-related initiatives such as: open enrollment, performance reviews, and training
Scan mail and/or HR files, delivering and/or saving documents, including both paper and electronic filing
Maintain the security and confidentiality of employee-related information and files
Assist on ad hoc projects and/or HR-related events (i.e. wellness challenges)
All other duties as assigned

Minimum Requirements:

High school diploma or equivalent with at least 2 years of relevant experience
Strong organizational skills, with a high level of attention to details
Must be an effective communicator, both orally and written
Ability to work collaboratively in cross-functional teams
Proven ability to move from task to task and keep multiple pending items in the air at one time
Excellent time management and organizational skills
Team player that collaborates well with others and is adaptable in an ever-changing environment
Must always maintain confidentiality of sensitive information/matters
Must be proficient in the use of MS Office products, specifically Outlook, and Excel
Must be able to be present on-site Monday through Friday from 8-5

Bonus points if you have:

Associate’s degree or higher
Have experience using Teams and/or Zoom
Have experience working with: JazzHR, Namely, Typeform, Canva and/or LMS systems
Have experience working for a small to mid-size company in a role where you had to wear multiple hats
