Job Description : SUMMARY: Performs a variety of secretarial duties for attorney(s) to whom assigned according to established policies and procedures. Maintains positive contact with clients, attorneys and staff and observes confidentiality of client matters.ESSENTIAL DUTIES AND RESPONSIBILITIES:1.Handles filing: Federal, State, Appeals and E-Filings.2.Prepares correspondence, memoranda and other legal documents from written and oral drafts; drafts standard correspondence, and other documents.3.Prepares discovery and pleading shells and assists with document productions.4.Assists with trial preparation, including trial and exhibit binders.5.Finalizing letters, motions, pleadings and discovery forms.6.Opens new matters, requests conflicts of interest checks updates and maintain legal files.7.Ensures that calendar deadlines items get to docketing clerk in timely manner.8. Process expense reports, check requests, enter partner billable time and review client prebills.9. Arranges travel, coordinates meetings and conference calls across various offices and time zones.10. Performs overload typing, filing, photocopying, or reception relief as time permits and as requested by other attorneys, the HR Director or the Administrator.11. Receives clients and visitors, observes confidentiality of attorney-client relationship.12. Other duties as assigned.The employee must be able to perform all essential job duties and responsibilities of this position satisfactorily and as outlined, with or without reasonable accommodations. Reasonable accommodation request may be accommodated, absent undue firm hardship.KNOWLEDGE, SKILLS AND ABILITIES REQUIRED: 1. Ability to read and write in order to proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case matters. Perform non-complex arithmetic calculations when verifying calculations on forms and documents; maintain records and filing systems at a level normally acquired through completion of high school or equivalent.2. Must be familiar with Federal, local and E-Filing rules.3. Ability to transcribe legal documents, correspondence and reports from rough draft or dictation at a level of 70 wpm.4. Must be proactive with the ability to multi-task and organize a busy desk.5. Ability to proofread typed material for grammatical, typographical or spelling errors.6. Interpersonal skills necessary in order to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff to provide information with ordinary courtesy and tact.7. Work occasionally requires a high level of mental effort while producing a high volume of information performing other essential duties.9.
