Responsibilities
As a Management Assistant with Hines, you will provide advanced administrative support to the Head of Office, Investment Management and Global Chief Investment Officer (GCIO) to ensure the smooth operation of the Investment Management executive office. Responsibilities include, but are not limited to:
Coordinate special activities and liaison functions such as travel arrangements, meetings, interviews, and conference/Zoom calls; managing all aspects of domestic and international travel.
Establish and maintain appropriate filing systems, both manual and electronic. May generate confidential files and reports.
Make arrangements for special and routine meetings and lunches, including coordinating conference space and schedules with other departments.
Complete special projects to support assigned area.
Prepare and process monthly expense reports.
Ensure that office supplies meet assigned group’s supply and stationary needs.
Responsible for calendar scheduling and review of all recurring calls and updating on a yearly basis; maintenance of GCIO calendar and IM calendar.
Draft presentations, reports, and correspondence.
Qualifications
Minimum Requirements include:
High School Diploma or equivalent from an accredited institution; Bachelor’s degree preferred.
Five or more years of progressive experience in supporting an executive in a professional office environment; and/or suitable experience in a fast-paced environment.
Demonstrate strong initiative and work ethic.
Demonstrate professional composure and diplomacy working with senior level executives.
Ability to manage and prioritize multiple tasks while meeting deadlines.
Extremely detail oriented and able to see the big picture when managing tasks.
Ability to make comparisons between sets of data identifying trends in data, drawing conclusions, and suggesting solutions.
Demonstrate sound judgment and make independent decisions in routine situations.
Advanced proficiency in Microsoft Office software, specifically Word, Excel, and PowerPoint.
Communicate effectively both verbally and written.
Demonstrate strong attention to detail and proofreading abilities.
Ability to work independently and in a team environment.
Maintain strict confidentiality.
