About the job
Reporting to the Senior Project Manager and working as part of the Custom Production international team based in the UK, this role will support delivery of individual customised projects (print, digital and combinations of both) across the UK and Ireland, Europe, MEAC and South Africa regions. This role will provide essential, central, support to the team throughout the year. You will assist with all aspects of pre- and post- delivery, including providing administrative support to the whole team, helping them to manage the production and delivery of all print and digital projects, ensuring that the team produces high quality resources to agreed delivery dates and to budget.
The ideal candidate will have some experience of the process of creating print and/or digital resources for customers, ideally within a publishing or educational establishment. You will possess a demonstrated ability to work independently, managing your own time and prioritising effectively, together with excellent project management skills and the ability to collaborate effectively with the UK team.

About you
In-house editorial and/or digital production experience
Experience in supporting teams with administrative duties
Preferably education publishing background and/or experience working in an editorial services or digital technology company
Excellent attention to detail
Experience of working to tight deadlines (e.g., managing or monitoring schedules)
Experience of managing and monitoring schedules in a fast-paced environment, managing multiple and competing priorities
Experience of database and systems maintenance
Able to develop and maintain effective working relationships with colleagues, as well as able to work independently
MS Office experience
Experience in assessing and clearing content for third party rights and permissions desirable
Key Accountabilities
Provide editorial and administrative support to the UK based custom production team on projects and tasks assigned; ensuring that tasks are completed to schedule
Monitor and manage team mailboxes to ensure that requests are allocated and action with SLA (usually 48 hours)
Check all projects prior to handover for required author rights and third-party permissions. Accurately track the status responses and clearly communicate any actions required to stakeholders
Create P&Ls for sales teams, liaising with Project Managers as appropriate to ensure they are accurate before releasing
Source files from archive areas to assist in the assessment of projects. Check files and highlight any issues
Responsibility for project handover processing. This includes adding titles to our in-house PDH system and to our other tracking documents, reviewing the P&L to ensure projects are meeting financial hurdles to proceed, preparing handover documents in Alfresco for Project Managers to progress the project. You will also highlight any queries to be resolved during production. Ensure handovers are processed as soon as they come in so that production can commence ASAP
On request. create packs in PDH and ensure enrichment of pack attributes is completed.
Manage Term Sheet/contract signature process
Track eBook codes generated to support eBook service fee billing
Adding accurate invoicing requests to the appropriate project tracking documents for Customer Service to action
Work on ad-hoc projects as they arise within the department
Follow agreed departmental workflow and procedures. Contribute to process and procedural updates, proactively suggesting new and improved ways of working
Communicate and liaise with appropriate internal departments, including Sales, Marketing, Rights & Permissions, Production, Inventory, Product Info, Digital, Content Management and Customer Service

Demonstrated knowledge of rights and permissions (e.g., an awareness of copyright issues) and global editorial standards, particularly in relation to producing print and digital content (to include accessibility and diversity). Training will be provided if appropriate.
Excellent organisational, time management, prioritisation, and planning skills . Expert in managing tight schedules. A demonstrated ability to work independently, managing own time, prioritising effectively, and making decisions confidently, quickly, and thoughtfully. Strong ability to multi-task and continually prioritise changing project tasks
Outstanding written and verbal communication skills ; must be a direct, articulate, and thoughtful communicator with the ability to provide timely and appropriate communication to both internal and external stakeholders
MS office including Excel, Word, Outlook, Teams and PowerPoint
Qualification and Experience
Post Graduation degree required.
Minimum 1 year job experience, preferably in higher education academic publishing (editorial, digital strategy, end to end project management).
