Job Description : Duties
Provides specialized and general clerical duties in support North Atlantic District Office. Applies a range and sequence of analytical steps appropriate for the assigned duties, or ports of studies form planning through fact-finding to reporting results. Supplies information to the public and internal customer of routine nature that requires basic familiarity of our services or can easily get status of reports, suspense dates, procedural requirements, and service functions. Analyzes incoming correspondence. Screens out items for self-handling and forwards to appropriate staff any items requiring further attention. Serves as a travel coordinator to the district. Screens, routes, and processes incoming and outgoing materials such as mail, correspondence, reports, memoranda, and other forms of written communication. Performs the following types of duties: edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, and develops standard or form letters and replies to inquiries. Provides general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittal of information. Maintains a perpetual inventory of supplies. Coordinates purchase request orders from office personnel for needed supplies or services. With Management Analyst, coordinates with the NAD Financial Administrator to arrange for, monitor, and secure equipment, services, and products. Serve as a timekeeper for NAD office employees and serves as the subject matter expert to other timekeepers within the district. Prepares and assures that all leave records are released into timekeeping system. Communicate with supervisor and the payroll office to obtain guidance and information that is needed to carry out these responsibilities. Provide administrative and technical support to the NAD office including meeting planning/video conference calls/conference calls, data gathering, conference setup and support, travel, memos, spreadsheets, graphs and presentations. Prepares correspondence, statistical graphs, logs, reports in final form, ensuring correct punctuation, capitalization, spelling grammatically corrects, error free and that suspense dates are met. Faxes and processes outgoing mail for the NAD staff, including regular, overnight, and packed items. Work Schedule: Required to work Monday through Friday, 8:00 am to 4:30 pm. May include occasional weekends. Due to the mission of the National Cemetery, the cemetery cannot be closed for more than 2 consecutive days at any given time. Additionally, when a Federal holiday falls on a Monday or Friday, staff may be required to work on that holiday or a Saturday. Staff will be required to work overtime, weekends and holidays when necessary to meet the needs of the cemetery. Occasionally staff may be called back to the facility to perform emergency overtime work. Compressed/Flexible Schedule: Not Available Telework: Not Available Virtual: This is not a virtual position. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: administrative/office work experience that includes work such as gathering data, coordinating meetings, establishing and maintaining an efficient filing system, using automated data processing equipment to generate a variety of reports, and establishing priorities and meeting deadlines.
