Job Description : Position Description

The Planning Project Assistant II provides general office management duties, including processing Commissioners Court agenda letters, incoming and outgoing correspondence, and timesheets. Assists in coordinating workshops and training, ordering and maintaining office supplies, developing and maintaining Planning’s filing and database systems, developing and transmitting project files, copying and faxing, and writing general correspondence.

Duties and Responsibilities:

Meets and greets visitors, run reports, schedule meetings, make travel arrangements, and answers the public’s questions about the department’s programs
Assists with various projects as requested by DR Director of Planning and Deputy Assistant Director of Planning/Environmental
Assists in the data entry and maintenance of the department’s electronic system of record for disaster recovery, environmental review record and retrieves information
Maintains project files and long term storage of files
Provides basic information on section status and take messages
Routing control to approve written documents, maintain records for audits/monitoring
Schedules meetings and prepares necessary presentation materials
Prepares travel and training documents
Documents and distributes meeting notes
Compiles timesheets and reports
Attends meetings relevant to nature of work as needed
Meets deadlines and prioritizes assignments
Performs other duties as assigned

Requirements

Education and Experience:

Bachelor’s degree from an accredited college or university
Minimum of three (3) years of business office and customer service experience

OR

Five (5) or more years of administrative experience

Knowledge, Skills, and Abilities:

Pleasant and professional demeanor
Strong organizational skills and ability to answer calls
Must have the ability to multi-task and work with minimal supervision
Excellent organization and oral and written communication skills, including having the ability to communicate with all levels of employees
Detail accuracy is a necessity
Must be able to create and maintain files and databases
Proficient with Microsoft Office Suite (Excel, Access, PowerPoint and Word)
Ability to meet deadlines and work efficiently

General Information

Hours:

Monday – Friday / 8:00 AM – 5:00 PM
Weekends (when necessary)

Salary:

Commensurate with Experience
Based on 26 Pay Periods

Work Environment:

The work is primarily sedentary with occasional required travel to training events or meetings
The work is performed in an office setting

Employment may be contingent on passing a drug screen and meeting other standards.
