Position : Purchasing Specialist

Job Description : JOB GOAL
Supports the department in procurement process across multiple districts while also providing comprehensive, on time and accurate documentation to internal staff
POSITION QUALIFICATIONS:

High School Diploma or GED
Bachelor’s Degree from an accredited four-year educational institution (preferred)
Experience in purchasing (Preferred)
Bilingual in Spanish (preferred)

DUTIES AND RESPONSIBILITIES:

Understands and supports the mission, vision and values of Harmony Public Schools.
Coordinates bidding process and contracts (e.g. prepare specifications, coordinate evaluation meetings, conduct bid meetings, etc.)
Compiles data from a wide variety of sources (e.g. vendors, staff, etc.) for the purpose of analyzing issues, ensuring compliance with the purchasing policies and procedures, and monitoring purchasing processes.
Coordinates all functions related to the purchase of equipment, supplies and services ensuring compliance with State and Federal regulations.
Maintains purchasing information, files and records (e.g. Requests for Proposal, purchase orders, vendor files, etc.)
Manages several contracts (e.g. custodial, catering, copier, electronic equipment, office supplies, uniform, school furniture purchases)
Negotiates, or renegotiates, and administers contracts with suppliers, vendors, and other representatives.
Monitors shipments to ensure that goods come in on time, and in the event of problems traces shipments and follows up undelivered goods.
Confers with staff and vendors to discuss defective or unacceptable goods or services and determine corrective action.
Participates in meetings, in-service training, workshops, etc. for the purpose of conveying and/or gathering information required to perform job functions.
Perform other duties as assigned.

SKILLS AND ABILITIES:

Ability to communicate effectively in both written and oral forms with all levels of management, both internal and external to the district.
Ability to establish and maintain effective working relationships both internal and external to the district.
Ability to negotiate prices and terms in conditions with vendors and suppliers
Ability to use computer including software, database used by the district, spreadsheet and word processing software, calculator, copy machine and telephone.
Ability to analyze data
Ability to use effective interview techniques, effective public speaking skills, and problem-solving skills

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:

Light Work: may require the occasional light lifting.
Nights and weekend activities will be occasionally required.
Position is in office setting and may involve prolonged work at a desk in one location.
Moderate travel is required.

Job Type: Full-time
Pay: $48,000.00 – $67,200.00 per year
