Job Description : Receptionist/Switchboard Operator – San Antonio State Supported Living Center
The Switchboard Operator performs routine receptionist work, including operating a telephone console/switchboard and performing receptionist duties.
Work involves placing, answering, and transferring local and long distance calls; maintaining phone logs; receiving visitors and notifying appropriate staff of their arrival; and providing general information. Performance related dispatch duties and clerical tasks.
May train others. Works under the general supervision of the Assistant Director of Administration with limited latitude for the use of initiative and independent judgment.
Also assists home staff and others as they depart for off campus trips. Performs a number of specific key tasks during emergencies such as major storms, ambulance responses and fire reports on campus. Assists callers with the operation of the VOIP telephones system.
Essential Job Functions:
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
Answers and transfers calls coming into the switchboard console; places long distance or local calls as necessary within facility policy.
Provides receptionist services and provide assistance to general public, demonstrating a responsive, courteous attitude in dealing with the public.
Monitors the fire alarm panel and responds as required to all medical, fire and weather emergencies. Relays all necessary information by two-way radio, telephone, and pager communication systems to appropriate support staff.
Documents all notifications received relevant to client safety; maintains logs for emergency calls, unauthorized departures, and off-campus security transports.
Assists home staff as they depart for off campus trips.
Performs clerical duties as requested.
Issues and monitor the facility key system.
Issues Leisure Activity cash out and receive return cash/receipts on weekends and skeleton work days.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge Skills Abilities:
Knowledge of the operation of a telephone console/switchboard; of office procedures; administrative, clerical, and data entry procedures and systems. Skill in using a personal computer and office equipment and in operating a multi-line switchboard console. Ability to transfer incoming calls to appropriate personnel, to communicate effectively, to greet and direct visitors; and to prepare and maintain records, files, and reports.

Initial Selection Criteria:
Graduation from a standard senior high school or equivalent, plus some work experience as a switchboard or console operator or as a receptionist. Must have experience in clerical work or data entry. Some knowledge of Microsoft Programs, such as Word, Excel, and Outlook preferred. Working knowledge of the CISCO Telephone System is preferred.

Salary Note: The salary offered will follow HHS starting salary guidelines which are typically made at or near the minimum of the salary range.

All State Supported Living Center employees are subject to random drug testing.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Required to work two weekends per month and state skeleton crew holidays. This statewide CISCO Telephone System outlines training needs and operational equipment instructions.
All applicants must be at least 18 years of age to be considered for employment at a state-operated facility.
