P*osition Summary*
Witt O’Brien’s is seeking a receptionist to work onsite in our Houston office and provide front office assistance. This individual will perform a variety of clerical and administrative tasks to keep the office organized and running efficiently.
Position Specifications

Reports to: Michelle Pashko, VP HR
Location: Houston, TX
Position Type: Regular Full time
FLSA Classification: Non-Exempt
Pay: Hourly (eligible for OT)
Compensation: Hourly Rate Commensurate with experience
Travel: None

Essential Job FunctionsThe candidate will perform the following essential functions:

Answer main phone lines, screen calls, and transfer calls
Maintain accuracy of office phone list and publish to company staff
Manage office space sign-up and deconflict requests for in-office workspace
Welcome, receive, and log in visitors
Check and respond to reception email box
Prepare vendor invoices for payment
Inventory, maintain, and order visitor and company office staff badges
Reserve conference rooms and manage conference room calendars
Receive, log, and notify company staff of deliveries and vendors
Pick up, sort, and deliver US mail to company staff
Receive, organize, and assist with outgoing mail and package shipments
Inventory, maintain, and order breakroom kitchen supplies
Maintain and organize breakroom bulletin boards
Maintain cleanliness, organize, and maintain office supplies for conference rooms and front office area
Receive, request for service, and track facility and building issues, and office equipment issues
Get quotes for facilities work as needed
Prepare and order group lunches for meetings as needed
Ensure coverage for breaks, vacation, sick, etc.
Maintain a safe work environment as gatekeeper, act as fire warden as necessary
Escalate problems, issues, and concerns to management
Train back up company staff on duties
Work as a team to support all company staff
Follow department processes and procedures
Keep track of parking garage reports
Book and arrange travel for team members as necessary
Update reference binder for temporary personnel and lunch cover
Other duties as assigned

Minimum Job Requirements

High School diploma or equivalent
1 – 3 years prior reception experience
Excellent interpersonal and customer service skills
Excellent verbal communication skills
Basic understanding of administrative and clerical procedures and systems
Proficient with Microsoft Office Suite or related software
Demonstrated organizational skills and attention to detail

Work Schedule

8 hours daily – may have the potential for overtime
5 days/week

Physical Requirements:

Prolonged periods of sitting at a desk
Must be able to lift up to 20 pounds at times
