Job Summary:
The Retail Operations Analyst I for the Retail Timekeeping team is responsible for the analysis and resolution of timekeeping issues as well as standard business processes supporting the Retail Operations organization. Timesheets are reviewed to ensure time coding is correct, hours entered are accurate, necessary approvals are received and that the timesheets are completed by the set deadlines. There are weekly, and quarterly internal audits completed by the team to review business processes to ensure we are meeting audit guidelines and that correct procedures are being followed. The team maintains employee information in the Agent Tracker database that is used by the reporting team to pull employee data. The team manages Fieldglass onboarding, extensions, and terminations for all call center contractors at our Texas sites.
Essential Duties/Responsibilities:
Employee and Contractor Timesheet administration. Review 1500+ timesheets to confirm correct hours entered, appropriate time off coding used and necessary approvals are received before the final sign offs.
Maintain knowledge of time off scenarios (PTO, Voluntary Reduced Hours, Leave of Absence, etc) in order to answer questions and to accurately approve timesheets.
Demonstrate time management skills in order to meet the quick turnaround time required for timesheet approvals each pay period while ensuring accuracy.
Daily updates to the Agent Tracker database for terminations, coach/supervisor changes, skill group movements and site relocations within Call Center (for all sites including vendor locations) and Customer Care departments for the reporting team.
Complete weekly audits of credits applied and deposits waived within the Call Center to ensure appropriate step actions were followed and when necessary submit Internal Errors if an incorrect process was followed
Monthly review of the Call Center contractor terminations for all sites (including vendors) to ensure that all necessary requests were submitted for termination of system access.
Documentation of timekeeping processes to assist with training / process reviews for employees, management and executives within the Retail teams.
Develop and document training material for cross training within the team.
Strong Leadership skills in order to manage the team’s deadlines to ensure that all timekeeping, audit and reporting deadlines are met.
Provide analytical data of team’s audits and timekeeping results to show the workload each week along with the results in order to find any trends or issues that may need to be addressed.
Demonstrate Project Management skills by leading and completing projects to increase operational efficiencies within the team and within Retail Customer Operations.
Prepare spreadsheets, graphics, and word documents as required for reporting, analysis, documentation, and presentations.
Onboard all call center new hires in Fieldglass as well as updates to pay/bill rates, quarterly extensions and terminations.

Minimum Requirements:
High school diploma or GED required.
2+ years’ experience in operations within the energy industry or retail operations in competitive consumer services or consumer package goods.

Intermediate or better level of skill in MS Office suite (Excel, PowerPoint, Word)
Analytical skills.
Preferred Qualifications:
Bachelor’s degree from an accredited four-year college or university is preferred but not required

Able to handle multiple tasks simultaneously.
SAP – CCS skills preferred.
Excellent personal computer skills.
Efficient in all MS Office applications, including Access.
Physical Requirements:
Work at home primarily with the majority of work performed on a personal computer in a seated position.
