JOB DESCRIPTION
Position Title: Patient Care Coordinator – Call Center Reports to: Scheduling Manager
POSITION PURPOSE
Responsible for successfully managing large amounts of inbound calls regarding patient care in a prompt and courteous manner. Resolves patients’ questions and problems regarding their healthcare.
DUTIES & RESPONSIBILITIES
TELEPHONES
Answer phone by third ring “Thank you for calling Texas Dermatology, this is Mary, how may I help you.”
Triage patient phone calls – please see phone tree diagram
Return patient calls & emails as directed via shifts
Enter demographic information into Nextech – new patients including address, phone, email & referring provider if any
Verify existing patient information in Nextech – all demographic & insurance information
SCHEDULING APPOINTMENTS
Enter demographic information into Nextech – new patients including address, phone, email & referring provider if any
Verify existing patient information in Nextech – all demographic & insurance information
Determine at the time of scheduling whether the patient has insurance with which the practice participates. Notify the patient of this information.
At the time of scheduling, explain practice financial policy to patient.
Record patient insurance company, ID #, and phone number
REFERRALS
Referrals are received via leading reach & fax
As referrals are received, they should be categorized by insurance type in sharepoint
Referrals should be entered and called throughout the workday
EMAILS
Return patient emails promptly
Include your professional office signature
Follow HIPAA policy when emailing patients
OTHER
Treat all patients and other staff members with respect, be polite and professional, and keep patients informed of any delays in being seen.
Always maintains patient privacy.
Assists in the training of new Call Center employees.
Additional duties as assigned by the practice manager or the physician(s).

PHYSICAL/MENTAL DEMANDS: Finger dexterity using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together. Talking especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly. Able to hear average or normal conversations and receive ordinary information. Average, ordinary, visual acuity necessary to prepare or inspect documents or products or operate machinery. Sedentary work; siting most of the time. Exerts up to 10lbs. of force occasionally. Must be able to handle stressful situations. Must possess mental acuity for attention to accuracy and detail.
