POSITION TYPE: 12-month

START DATE: 21-22 School Year

COMPENSATION: $17.27-$20.32 per hour

THE
ROLE

When you join the YES Prep team, some of the exciting work and responsibilities will include:

Establishing and maintaining student files ensuring all personal and academic records are kept current and accurate including the confidentiality of such files;
Organizing, managing, and leading the enrollment, registration and withdrawal processes for all students;
Managing and maintaining student and PEIMS data entry in student information system, including but not limited to special programs, demographics, EL, etc.;
Monitoring student records to ensure compliance with academic regulations and/or any special program flags; all data pertaining to information including attendance, grade reporting, special programs and balancing data to manual records;
Assisting the Director of Campus Operations with student schedule entry;
Assisting the Director of Campus Operations with grade reporting verification process;
Collaborating with testing coordinator to ensure state testing records and scores are displaying accurately in the student information system and filed in students’ cumulative folders;
Maintaining the distribution of student information to all responsible personnel of special programs and campus personnel;
Conducting and fulfilling student record requests for students, families, school personnel and external stakeholders;
Completing data verification and corrective action set by Home Office internal audit results;
Assisting Special Education Managers with filing of required documents in appropriate folders;
Serving as a liaison between campus personnel and Home Office regarding student information;
Ensuring compliance with all state, federal and organizational policies and procedures with regards to student data;
Assisting with coverage of front desk, including warmly greeting and assisting all visitors, answering and processing all incoming calls in an efficient and rapid manner;
Helping manage and facilitate Main Office procedures such as supply requests, copy requests, laminating requests, and other requests as needed;
Managing daily administrative operations including establishing work priorities, and resolving problems related to day-to-day operations of the office;
Tracking tardy information and send it to the principals as needed; track students leaving early;
Running attendance reports during homeroom and first period; phone absent students’ guardians in an effort to get students to school quickly and determine 1) why the student is absent, 2) if there is anyone to bring the student to school and 3) inform the guardian of the consequences of the student not attending school regularly;
Maintaining attendance records and generate reports for school leadership;
Communicating with teachers to ensure attendance is taken accurately and on time;
Creating and entering attendance rosters for student trips or alternate schedule days;
Creating and distributing compulsory attendance letters warning parents of student absences;
Filtering and distributing office mail and faxes;
Making parent phone calls regarding outstanding student fees, paperwork, school meetings, lottery placement, home visits, teacher/parent meetings, and any other parent contact needs;
Additional duties as assigned.

THE MUST HAVES

High School Diploma/GED
Bilingual in Spanish
At least 2 years of an exemplary record working in a fast-paced office environment
Proficient in Microsoft Office Suite (Outlook, Word, Excel, etc.)
Ability to work outside of normal hours and on weekends
Belief in and commitment to the mission and core value of YES Prep Public Schools
Openness to giving and receiving frequent feedback
Ability to maintain emotional control under stress
Ability to work urgently in a fast-paced and results-oriented environment

THE PERKS

Compensation – This position is a non-exempt, hourly position; offers commensurate with experience.

Health and Supplemental Insurance – A $10 monthly medical option that includes $600 towards a Health Savings Account, in addition to a variety of supplemental benefits including Dental, Vision, Disability, Life, etc. Employees must work 20+ hours a week to be eligible for a full spectrum of benefits, and 10 hours a week minimum for medical benefits.

Retirement Plans – Participation in Teacher Retirement System of Texas and a 457 Retirement Plan.

Paid Time Off – Employees working 20+ hours a week receive 15 days of Paid Time Off in addition to the system closures during the Academic Calendar.

Please note, part-time hourly employees (working fewer than 40 hours/week) do not receive pay during system closures. Additionally, 10- and 11-month hourly employees do not receive pay during the months in which they are not working.

Paid Leave Programming – In the event you need to be out due to medical needs (including maternity and paternity leave), YES Prep offers paid leave, paid out at 100%, based on eligibility and tenure.
