General Statement:
The Special Event Planner is responsible for developing and facilitating special events that will generate attendance and revenue, while providing guests with message-based content that aligns with the Phoenix Zoo/ACNCs mission.
Essential Duties:

Provide quality guest service to both internal and external guests by maintaining a WILD (friendly, helpful, positive and professional) working attitude and appearance.
Coordinate special events and promotions as assigned.
Research and develop new ideas for special events that meet the Zoos goals and objectives.
Review, initiate and facilitate contracts, agreements and correspondence with vendors, organizations and other service providers to secure items such as equipment, entertainment and rentals, that are necessary for the event.
Ensure the appropriate use of environmentally focused vendors that align with Zoos mission.
Create and maintain current event timelines, maps, event sheets, lead sheets and other documents during the event planning process.
Solicit donations of items and/or services that may be needed for events.
Create props/decorations/crafts for events.
Ensure safety, cleanliness and organization of equipment and supplies during and after breakdown of events.
Maintain accurate inventory of supplies used for events.
Develop volunteer job descriptions for special events.
Schedule and supervise all event volunteers, as many as 250 in one weekend.
Write copy for event promotional material including signage, web and print.
Track revenue and expenses of assigned events and maintain accurate budget.
Maintain event files including event recap reports.
Work collaboratively with other Zoo departments to develop activities to incorporate into special events and to assist with other department promotions.
Assist the event team with facilitation of other events as needed.
Perform other related duties as assigned.

Qualifications

A Bachelor’s degree or equivalent experience preferred.
Minimum three years of experience in event facilitation and planning.
Demonstrate ability to provide excellent customer service in all situations is required.
Must be self-starter and able to perform job with little or no supervision.
Strong organizational skills and creativity a plus.
Exhibit excellent oral and written skills.
Possess excellent presentation skills.
Proficiency in Microsoft Outlook, MS Word, MS PowerPoint and MS Excel.
Ability to work a flexible schedule including evenings, holidays and weekends.
Ability to work in extreme weather conditions.
Able to lift of up to 40 lbs.
Must possess a valid driver’s license.
Ability to pass pre-employment background check, drug test, DMV check and clear annual TB test.
