Job Description : Department: Special Events Operations
Supervisor: Director, Special Events
Classification: Full-Time/Exempt

Summary
This position will be responsible for developing and maximizing (non-baseball) revenue, as well as coordinating special events and conference center meetings.

Essential Functions
Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Responsible for the planning and execution of internal Astros meetings and events as well as external client events as assigned.
Work with the Special Event Sales Department to ensure contract expectations are met and exceeded
Responsible for the event supervision by communicating with other departments, ensuring the accuracy of details and actively coordinating all facets of the event before, during and post event, as assigned
Prepare and distribute event sheets, vendor requests, special projects and related material for department staff as requested.
Complete all aspects of event coordination for client events including but not limited to onsite tours, planning meetings, pre-event communication, vendor selections and creation of CAD diagrams
Provide superior customer service to clients and prospects.
Contribute positively to the Special Events team atmosphere by developing a strong working relationship within the organization.
Performs other related duties as assigned or requested.

Qualifications:
To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

College degree in marketing, hotel/restaurant management, business administration or related field and at least 1+ years’ experience in special events environment – with results of demonstrated coordination and execution (sports or entertainment experience preferred)
Must be able to demonstrate (by way of examples and/or experience) an expert level of organization, critical logistics thinking and special event sales resourcefulness.
Strong attention to detail and promptness
Demonstrate quick learner with ability to handle multiple projects simultaneously and meet deadlines.
Demonstrate ability to work well with different personalities
High level of demonstrated professionalism, integrity and ability to maintain sensitive information and appropriate decorum
Ability to develop and maintain good relationships with clients, sponsors and staff members; working collaboratively in a fast-paced, high profile environment and deliver exceptional service
Creative, energetic and proactive approach to work
Ability to anticipate and make recommendations based upon the needs of clients
Comfortable making and executing requests
Strong oral and written communication skills
Must be proficient with Microsoft Word, Excel, and PowerPoint, proficiency in AutoCAD a plus but not required
Flexibility and willingness to work long hours, evenings and weekends.
Experience in event coordination and logistics
High level of demonstrated professionalism, integrity, ability to maintain sensitive information and appropriate decorum.
Ability to develop and maintain good relationships with clients, sponsors and staff members
Creative, energetic and proactive approach to work.
Ability to anticipate and make recommendations based upon the needs of clients
Comfortable making and executing requests.

Work Environment
This job operates in an office setting. This role routinely uses standard office equipment such as computers, phones and photocopiers. The noise level is usually moderate but can be loud at times. Must be able to work in all types of outdoor weather conditions and within a stadium environment.

Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is a largely sedentary role; specific vision abilities required by this job include close and focused vision as well as use of hands to feel or control objects. This role requires the individual to speak and hear. This role may be required at times to stoop, kneel, crouch to lift/move/carry items weighting up to 25 lbs on occasion. At times, this role would include sitting, standing or walking for extended periods of time.

Position Type and Expected Hours of Work
Ability to work a flexible schedule, including; extended hours, evenings, weekends, and holidays.

Travel
Rare overnight travel expected in this role.
