Job Description : Portland Community College and the Office of the Registrar are seeking two Student Records Coordinators to join our team. The positions have a variety of responsibilities in researching, analyzing and resolving complex student and technical issues related to admission, registration, records and graduation requirements. Incumbents will provide maintenance and critical analysis for systems processes and regulatory compliance including accuracy and integrity of student records (both paper and electronic formats). The focus of the two positions will be as follows:
Systems and Compliance-tasked with performing critical processes in our student information system (Banner), such as term set up, researching academic transcript appeals, compiling records for subpoenas and other record releases.
Graduation and Evaluation-tasked with performing critical processes surrounding articulation, transfer credit and graduation requirements. Will be the primary planner for PCC’s Commencement Ceremony.
This is a fast-paced, high-volume office that serves over 50,000 current students and over one million alumni. The work that we do is critical to our students and must be performed with the highest level of accuracy, attention to detail, and care. The Office of the Registrar is the official custodian of all PCC student records, which includes transfer credit evaluation and the awarding of all degrees and certificates for the college.This position will operate remotely until normal college operations resume. While currently housed at the Downtown Center, Student Records will be moving to the Southeast Campus. When the college returns to on-site operations, these positions will require some on-site work.

Demonstrated experience and proficiency in Banner or other student information system (SIS), performing complex tasks, processes, and troubleshooting
Demonstrated experience with graduation requirements, evaluating transcripts and working with degree audit systems.
Demonstrated experience interpreting, applying, and enforcing established policy
Demonstrated experience with project management
Demonstrated ability to prioritize multiple projects/tasks and work in an environment with regular interruption
A student-centered approach in response to challenging student and college issues; demonstrating cultural and personal sensitivity, imagination, and effectiveness in problem solving.

Minimum Qualifications

To be considered, your application must demonstrate these minimum qualifications. (Experience is calculated based on the start and end dates you provide multiplied by the number of hours per week worked).

Bachelor’s degree in Administration, CIS, Communications, Education, Student Services, or related field (experience performing related duties may substitute for the degree requirement on a year-for-year basis).
Three years of responsible experience in a student services area applying policies, procedures, federal and state regulations as they relate to student records, and experience coordinating staff on work projects and activities.

Position Grade 4
Starting Salary Expectations $53,461 to $57,272 (Step 3); based on qualifications, experience, and internal equity.
Position Grade Salary Range $53416 to $92706 Annual Salary

Working Conditions and Physical Requirements

Work is performed in a standard office environment. Exposure to video display terminals occurs on a regular basis. Work pressure from deadlines and daily interruptions of workflow are expected and occur on a regular basis.
Minimal physical effort is required. Learned physical skill is required to perform keyboarding functions.
