Job Summary

Admissions, Records & Registration is looking for a dynamic individual to work within the learning college as a Student Services Supervisor. In this role, you will be responsible for developing, coordinating, and supervising student services program functions and activities. This position also provides program oversight and supervises the delivery and administration of program services.

Essential Functions

35% Hires, trains, plans, organizes, assigns, evaluates, supervises, reviews, and evaluates the work of staff, addresses concerns, resolves problems; composes, edits, and prepares correspondence and reports; conducts performance appraisals and implements developmental plans for staff, prepares and conducts staff training. Keeps abreast of policies/procedures and communicates to customer service staff through written and verbal communication; develops procedures including computerized and/or manual systems to support area requirements.
20% Oversees the day-to-day activities of multiple enrollment services/admissions, records and registration activities/functions and staff, including in person, telephone, online chat services, email, and mail. Assists families and students by providing enrollment information; resolves student enrollment-related issues and concerns.
20% Researches, analyzes, interprets and evaluates program and industry trends, program data and related regulations; implements program and operational changes related to strategic plans; monitors operational compliance with policies and regulations; serves as a representative and coordinates collaborative efforts with internal and external stakeholders, agencies, and/or community and educational partners; develops, recommends, and implements policies, goals and objectives; implements quality assurance to include regular review (e.g., spot checking) to ensure accuracy of completed transactions; prepares, works, and reconciles reports related to enrollment in order to comply with District and governmental requirements/regulations.
15% Generates up-to-date, accurate and complete data and information to be used in decision-making processes; evaluates data to ensure department is adhering to certain laws, regulations and procedures; prepares statistical reports as needed. Plans, manages and oversees some administration of budgets.
10% Ensures compliance with state, federal and district regulations; advises and enforces college policy relating to student services; serves on college and district committees; develops and maintains partnerships with educational institutions, the community and other organizations to provide a wide range of enrollment services to students; serves as a liaison with the community and business and industry as it relates to campus activities and services; performs related duties as assigned.

Minimum Qualifications

Bachelor’s Degree from a regionally accredited institution in education, sociology, business administration or directly related field and four years of student services or related experience.
OR
An Associate’s Degree from a regionally accredited institution in education, sociology, business administration or directly related field and six years of student services or related experience.
OR
A High School Diploma or GED from a regionally accredited institution, eight years of student services or related experience

Desired Qualifications

1. Master’s degree
2. Two (2) or more years’ experience working in an Enrollment Services/Admissions, Records & Registration in a student affairs college setting providing problem resolution and front-line customer service and telephone support
3. Two (2) or more years’ experience demonstrating knowledge of leadership skills, team building, and mentoring staff and developing cooperative working relationships with persons contacted in the course of performing assigned duties.
4. Two (2) or more years’ experience working with statistical data, working a myriad of reports to reflect accurate data, and reporting results based on the level of understanding of the audience receiving the information.
5. Two (2) or more years demonstrated program and/or project management experience along with providing professional development training for staff and students
6. Two (2) or more years’ experience with the use and maintenance of online and/or web-based delivery of programs and services such as queue management system, interactive online forms, electronic form submissions
7. Two (2) or more years’ experience working with an online Student Information System, particularly in the areas of transcript evaluation, graduation, and enrollment processes, and a Customer Relations Management (CRM) system
8. Two (2) or more years’ experience working with state and/or federal regulations
9. Two (2) or more years’ experience working with a diverse population of students, staff, and faculty

Special Working Conditions

Work is routinely performed in an indoor, office environment.
May be required to lift or carry up to 25lbs.
May be required to work evenings and weekends.
May be required to work at multiple sites or locations.
May be required to sit for a prolonged period of time; viewing a computer monitor.
