Job Description : Job Title: Payroll Specialist/HR AssistantDepartment: Human ResourcesReports To: HR ManagerFLSA Status: Non-Exempt; Full-TimeSchedule: Monday-FridayWage: $16.00-$28.00 hourly; depending on number of years of transferrable experience and internal equitySUMMARY Performs a variety of technical payroll duties for 450+ employees in UKG in addition to providing general office support to the HR team. Provide guidance to employees on electronic time recording entries, time reporting system errors, and payroll related questions in accordance with RiverStone Health policies and procedures. Will process employee changes, assemble personnel and medical files, assist with Employee Health projects, and other HR duties as needed. Position requires a high level of attention to detail, confidentiality, and self- motivation. Experience with Montana wage and hour laws, electronic payroll systems and Microsoft Excel required.ESSENTIAL KNOWLEDGE, SKILLS AND RESPONSIBILITIES include the following. Other duties may be assigned.Verifies computer data entries of new employees’ files and changes in existing employee’s files (Ultimate Kronos Group/UKG).Ensures proper employee setup in timesheet software (UKG).Maintains employees’ deductions for the RSH Foundation and miscellaneous deductions.Maintains ACA information in UKG.Prepares paper payroll checks and distributes pay envelopes throughout the Departments.Processes monthly billings to include health, voluntary benefits, Health Savings Account, FLEX, retirement, life insurance, etc.Terminates employee benefits upon termination of employment with the vendor, with the exception of health insuranceProcesses Personnel Action Notice (PAN form) for employee status, wage, terminations and supervision changes. Responsible for tracking and updating in employee files and UKG; licenses and years of service information.Reviews and implements changing tax laws.Assists with wage garnishmentsSends notice of employee termination to the Division of Child Support.Verifies validity and accuracy of accounting source documents such as payroll time records.Assists with FMLA entries into UKG and accounting for employee sick leave donations.Develops payroll procedures and audit controls.Verifies adherence to policies and procedures as well as applicable laws and regulations for recording of regular, vacation, sick, holiday and overtime hours; and retroactive, shift differential and on-call pay.Calculates vacation and sick leave payouts for terminations or employees changing status.Notifies employees of vacation overages and processing vacation pay out requests.Assists with preparing and submitting W-2’s and year end reports to the IRS, Social Security Administration and Montana Department of Revenue; 941 quarterly reports, state unemployment quarterly reports, year-end Affordable Care Act reporting forms, and a variety of routine and complex financial and statistical reports.Completion of employment verifications, including verbal VOE’s for employment, bank loans, child support, etc.Conducts pre-employment reference checks via phone or email for all new employees.Confers with the VP of HR, UKG Manager, HR Manager and outside auditors on annual audit requests, reports and inquiries.Responsible for setting up HR Orientation conference room and other conference rooms as needed for interviews and HR functions.Completes special reports and other documentation as necessary.Responds to employee’s questions and comments in a courteous and timely manner.QUALIFICATIONS to perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
