Job Description : Department:  Detroit Opera House OperationsClassification:  Part-Time, Non-ExemptSchedule:  Seasonal and flexible, evenings and weekendsPosting Ends: April 7, 2022Position Summary:   Detroit Opera’s (DO) Events Team coordinates, sets up, and executes a multitude of events at the historic Detroit Opera House (DOH), which are unrelated to opera or dance, including touring Broadway productions, popular music performances, weddings, and professional networking events. The Events Assistant (EA) is an integral part of this dynamic team, supporting the Events Manager (EM) in the organization and execution of excellent, memorable events. Through careful coordination and preparation, the EA creates seamless communication and cooperation between various DO departments and outside vendors during events. The EA is a competent improviser and problem-solver, who through clear, polite communication, effectively resolves issues during events. The EA is an enthusiastic customer service advocate, who consistently meets the highest quality expectations from DO clients and patrons to ensure DO client satisfaction.Responsibilities: Assist with set up and break down of all components related to event, such as registration, gift table, ceremony seating, and signage.Power on various sound systems, set up microphones, set up auxiliary cord for mp3 players and computers, phones etc.Brief ushers and staff of pertinent event details to ensure they are confident in assisting guests and provide a positive customer experience i.e., transitioning throughout building spaces, directions to exits and restrooms, safety procedures.Courteously address and expeditiously resolve any customer service-related issues.Be alert to any potential safety hazards or concerns throughout event/performance.Interact with clients and guests throughout the event to ensure their needs are not only met but exceeded (for example assist with gifts, personal belongings, procession details, etc.)Assist and support the Event Manager in the following planning duties:Effectively communicate event details with all clients and their guests.Distribute necessary event details to key staff, department heads, and vendors, in a timely fashion before the event.Ensure the readiness of the DOH’s appearance by communicating with internal DO Departments ahead of time, including Facilities, Security, Ushers, and Parking Attendants.Coordinate with Front of House and Back of House, caterer, and various vendors (florists, DJ, musicians, etc.) as required to ensure a seamless event In collaboration with the caterer, determine details pertaining to food service and food service movement throughout the building.Required Qualifications:   High school diploma or GED2 or more years’ experience working in a customer service capacity at an events center or company, in positions such as an usher or box office employeeDemonstrated organization skills, and an attention to detailDemonstrated problem-solving skillsExcellent verbal communication skillsProficiency in Microsoft Office Suite, including Word, Excel, and PowerPointAbility to understand diverse perspectives and acknowledge the significance of differences and complexities in background, cultures, values and viewpoints as the foundation for an inclusive environment.   Desired Qualifications:   Professional event planning experienceExperience working with PAs and sound systems Essential functions/physical demands:   The person in this position routinely maneuvers throughout the building, including hallways and stairwells, in order to manage events.The person in this position stands for several hours at a time to supervise events.The person in this position routinely lifts and moves objects weighing up to 35 pounds.Application Deadline  Job openings are posted for a minimum of seven calendar days.  This job may be removed from posting boards and filled any time after the minimum posting period has ended.  Applications will be reviewed as received throughout the posting period and continue until the position is filled. Detroit Opera is committed to recruiting and retaining a diverse workforce and encourages all employees to fully incorporate their diverse backgrounds, skills, and life experiences into their work and towards the fulfillment of the DO mission.   Additional Information: The Events Assistant position operates in a pool.
