Job Function
Provide management and strategic support for the Provost Office’s strategic initiatives, departments, personnel, and prominent meetings and events. Work collaboratively with the Learning Unit departments. Execute a variety of specialized and technical duties while working independently and collectively with administration, staff, faculty, and committees.
Job Responsibilities
Assign work and supervise part-time staff, including work study students, including onboarding, department specific training, institutional required trainings, and evaluations.Monitor and manage waitlists, sections, and enrollment; analyze outcomes, collaborate with deans, and associate deans, and generate predictive analysis.Monitor and manage adjunct faculty postings, rosters, and applicant pools while supporting units in identifying adjunct faculty shortages and creating an effective marketing and recruitment plan.Plan and manage large Provost Office events, including pre-event, during-event, and post-event planning and tasks such as: coordinating, training, set up, catering, technology, reservations, funding, data collection, tear down, contracts, and other duties.Advise the Provost Office Director on general fund budget documents, forecasting future budget items, and preparing reports.In cooperation with the Foundation, monitor and help promote the use of privately funded scholarships for students.Coordinate and monitor textbook and OER adoptions and processes with departments and the bookstore.Support the Director and VP of the Provost Office with cross-department initiatives
and collaboration with the progression from K12 to Macomb and transfer plans to universities.Establish and coordinate data requests with Institutional Research for reporting on college initiatives, data development, data analysis, and data collection for partnerships.Serve on internal and external committees and represent the Provost Office as assigned while aligning with the college mission and vision.Efficient execution of department objectives, including tracking departmental initiatives, creating, and managing process implementation, creating workflow documentation and processes, assigning tasks, and reporting results.Prepare project management workflows, monitoring, and prepare status reports with appropriate Learning Unit managers.Manage annual and additional marketing requests by reviewing grammar, spelling, and suitability, track outcomes and share results.Assist Provost Office Director/VP with development and implementation of various state and federal questionnaires, surveys, projects, and grants and coordinate submissions and implementation.Initiate, test, and administer Business Intelligence, Colleague Ellucian, and future technological system reports and dashboards.Manage coordination of guests, tours, visits, conferences, accreditations, and departmental gatherings.Coordinate and track major and annual renovations, repairs, and upgrades to the Learning unit departments and associated buildings.Other duties as assigned.
SUPERVISION RECEIVED: Reports to the Director of the Provost Office.
SUPERVISION GIVEN: Supervise full/part time employees as assigned.
Education
Associate degree required.
Preliminary Qualifications
A minimum of two years of business or higher education related experience required.
Preferred Qualifications
Knowledge, Skills and Abilities
Highest level of accuracy and organization. Must have ability to analyze tasks and data, identify subtasks and prepare summaries and reports; interpret financial data and utilize spreadsheets for financial analysis; organize tasks and establish priorities; possess good oral and written communication skills; able to elicit and provide clear, precise information; possess good inter-personal skills while working well with individuals at various levels internally and externally; comfortable in a high pressure environment; work independently with minimal supervision. Ability to coordinate multiple activities; ability to form and effectively lead teams and function as a member; use good judgment and initiative in implementing systems and procedures; and proactive in problem solving and troubleshooting situations. Effective working knowledge and proficiency of Microsoft Office programs with various software application such as Teams, Outlook, Word, PowerPoint, and Excel. Experience with video conferencing systems, Colleague systems and Business Intelligence preferred.
Physical Demands
Work Hours Office hours are generally between 8:00 am – 5:00 pm Monday thru Friday. Hours may vary and include some evenings and weekends. Travel between campuses and offsite may be required.
Position Level 5
Salary $62,499 – $79,743 (2022 salary range) salary range in accordance to the 2022 Collective agreement
