Job Description : To provide administrative support to project management team (may be one or more people) for construction project, or other specified project or department.Job Description: You Are:An enthusiastic, positive individual with a “can-do” attitudeAn ethical individual who is respectful of and respected by othersAn individual who pays attention to detail in your own and others’ workA results-oriented individual who is resourceful and creativeAccountable, fulfilling commitments and reaching objectives consistentlyA good listenerProfessional and able to maintain confidentiality, emotional control, and composureGoal-oriented, setting clear “stretch” goals for yourselfSomeone who is autonomous and willing to make decisions independently when neededAble to work effectively in a fast-paced environment requiring extensive multi-tasking anddealing with unplanned operational needsSkills You Have:Verbal CommunicationWritten communicationTask / Time ManagementTechnology ApplicationProblem SolvingDecision MakingCreativityListeningRelationship ManagementHighly OrganizedProcess-OrientedPracticalPosition Responsibilities and Duties: Ability to perform all essential duties of Junior Administrative/Jr. Project AssistantAnswer phones – screen/handle routine items and direct calls as appropriateProcess incoming and outgoing mail including UPS and Federal Express, sort, prioritize, anddistribute, handle items not requiring supervisor’s attentionAssist with travel arrangements, planning itineraries and scheduling meetingsArrange catering and assist with event planningAssist with administration of office/jobsite facilities, as assignedMaintain inventory of office supplies and materials, and order or purchase as neededPrepare, type and distribute correspondence, reports, and other administrative work, including jobmeeting minutes, for supervisor’s signatureMaintain accurate, standardized filing system, including week-ending and month-ending job files,insurance and bonding logs, commitment logs and job filesDistribute plansInput commitment data to cost reporting systemPrepare and process commitment documents (purchase orders, subcontracts, rental agreements,and change orders)Track signed, returned commitments/agreementsNotify subcontractors regarding change orders, follow-up on change order quotes and referencenumber processingFollow job close-out procedures including archiving project plans and filesAssist with maintaining good business relationship with suppliers and subcontractorsRequest Insurance CertificatesProcess new Client/Business Partner setupBe able to obtain Notary Public for state of OregonCoordinate with corporate prequalification department on subcontractor information submissionsand renewalsActively communicate directly with subcontractors to solicit required prequalificationdocuments/information in a timely mannerInform estimating and project teams regarding status of prequalification updatesFollow up with Swinerton business units, Project Teams and/or subcontractors for missing orinaccurate subcontractor prequalification dataAssist subcontractors and/or Swinerton business units with system troubleshootingComplete other responsibilities as assignedMinimum Skills or Experience Requirements: High School Diploma or equivalentTwo years of business school, or the equivalent combination of training and experience or ability todemonstrate proficient use of computer programs.Ability to keyboard 45 wpm accuratelyProficient in knowledge and use of word-processing and spreadsheet software (MS Office)Working knowledge of general office procedures and office machinesProficient in English verbal communication skills, including professional telephone mannerProficient in written communications skills, including business writing skillsReliability, dependability, and flexibilityResourcefulness is a mustIf you like wild growth and working with happy, enthusiastic over-achievers, you’ll enjoy your career with us!Job Type: Full-timePay: $19.78 – $29.65 per hourBenefits:401(k)401(k) matchingDental insuranceEmployee assistance programHealth insuranceHealth savings accountLife insurancePaid time offRetirement planVision insuranceSchedule:Monday to FridayWork Location: One location
