Job Description : ADMINISTRATIVE ASSISTANT GENERAL STATEMENT OF DUTIES The Administrative Assistant provides support for clerical functions including reports, scanning, document preparation, and filing electronically. In addition, provides coordination for events and project tracking.DISTINGUISHING FEATURES OF THE CLASSIFICATION This is a part-time, temporary position with the major duties primarily to assist with organizing archives, updating City documents, and event coordination. This employee is responsible for varied clerical tasks that include document preparation along with updating ordinances and codes. At times this work will be as a member of the General Administration team but most work is independent. It is expected this position will coordinate activities with City staff and elected officials. This position does not include benefits.RELATIONSHIPS WITH OTHERS Employees in this class are in regular in-person contact with the supervisor, City staff, and elected officials to share and transfer relevant information.SUPERVISION RECEIVED Work is performed under the supervision of the City Administrator.SUPERVISION EXERCISED Supervision is not a responsibility of this position.KEY PERFORMANCE AREAS 1. Clerical. Reviews, proof reads and edits documents. Assembles project notebooks and packets, prepares meeting materials for events and workshops. Assists with making changes in City plans and Codes from approved Council resolutions and ordinances. Assists with establishing electronic archives. Performs other administrative support duties as assigned.2. Miscellaneous. Provides support for various City meetings and special functions including city- wide events; audio and video setups for meetings; prepares applicable reports and keeps a variety of records. Assist other City staff as assigned for special projects or events that may involve working weekends and evenings.EMPLOYMENT STANDARDS EDUCATIONAL REQUIREMENTS: High school graduation or equivalency. Associate Degree in related field preferred.EXPERIENCE AND TRAINING: Two years of experience in office environment, or any satisfactory combination of experience and training that demonstrates the knowledge, skills and ability to perform the above-described duties.KNOWLEDGE OF: Proper grammar, punctuation, spelling, capitalization and sentence structure.Procedures and techniques necessary to collect, organize and report information.Scanning and electronic file structure.Basic event coordination and process.Basic principles of work organization.Basic knowledge of arithmetic (addition, subtraction, multiplication, division, and percentage).ABILITY TO: Coordinate activities to ensure completion of projects and assignments.Gather and organize information and prepare narrative reports.Maintain confidentiality of City records.Work in a team-oriented environment, but also work alone at a work-site, under supervisory direction while performing duties thoroughly and accuratelyGet along well with coworkers and maintain effective work relationships.SKILL IN:Performing a variety of clerical functions at a technical or secretarial support level requiring decision-making within established policies and procedures.Skill in operating a personal computer to enter or retrieve informationFollow verbal and written instructions, policies, and procedures.Communicating with employees and others in a professional and non-threating manor.OTHER REQUIREMENTS: While performing the duties of this job, the employee is regularly required to use hands for keyboarding.The employee frequently is required to site, walk, stand, stoop, and talk or hear. The employee is occasionally required to kneel or crouch. Employee occasionally lifts and/or moves up to 25 pounds unassisted. Specific vision abilities required by this job include close vision and the ability to adjust focus.Employee will typically work a 20-hour work week.ENVIRONMENTAL CONDITIONS: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
