Job Description : Job Title: Administrative Assistant/ Receptionist
Shift: Full Time, 40-hour work week
Reports To: Supervisor/Manager
SUMMARY:
We are a successful, growing P&C Insurance Company in San Diego looking for an Administrative Assistant/ Receptionist to complement our team. We are a great company with competitive benefits and a fun working environment.
This position will support main office functions including preparing correspondence, answering phones, help HR with event planning, monitoring office inventory, ordering supplies, tracking expenses, and various other assignments as needed. To succeed in this role, the candidate must be flexible, open to new tasks, willing to jump in, roll up their sleeves and get the job done. The candidate must be adaptable, have effective communication skills, and be comfortable multitasking in a fast paced, deadline driven environment with a positive attitude.
This position requires an 100% in office presence, Monday – Friday from 8:00 – 5:00 pm PST.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Answer incoming phone calls
· Greeting visitors, and general office duties as needed
· Provides Administrative/ Clerical support to various departments as needed
· Assist HR with different Employee Enrichment events
*Track expenses for supplies, HR activities and events
· Petty Cash management
· Put together welcome kit for new employees
· Prep coffee break room, lunch arrangements, and meeting rooms
· Take employee temperatures and screen for COVID symptoms upon employee arrival
· Track office supply stock and manage purchases
· Coordinate in office lunches or events
· Assist with HR email communications
· Assist with coordination of company events and in-office activities
· Distribute incoming mail
· Serve as back up to the Mail Clerk
· Organize travel accommodations
· Assist with creation of power point presentations as needed
· Run errands for events, supplies, mailing of packages, or other
· Maintain a high level of integrity when dealing with sensitive and confidential information
· Other admin assistant responsibilities or projects as needed
Required Skills and Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. · Must be proficient in Microsoft Office (Excel, Word, PowerPoint, etc.)
· Bilingual preferred (Spanish)
· Excellent customer service skills
· Detail oriented
· Must be proficient with a multiline phone operating system
· Strong interpersonal, problem-solving, and effective communication skills are required with a desire and ability to work and communicate as a team
· Good time management skills
· Self-starter, with minimal direct supervision is preferred
· Strong verbal and writing communication skills required
· Able to juggle multiple projects simultaneously and prioritize
· Ability to interact with a wide variety of individuals in a professional manner
· Able to operate office equipment
· Budget experience preferred
· Strong organizational skills
Education
Highschool or equivalent (Required)
Experience
Customer Service: 1 year (Preferred)
Job Type: Full-time
Pay: $18.00 – $21.00 per hour
