Job Description : In search for Personal Assistant with 5+ plus years of experience as a personal assistant, preferably in a private estate, household, or Family Office. Ideally based in Santa Barbara, CA
Overview:
The Personal Assistant (PA) will provide ongoing administrative support for 2 Principals and their family. They must have prior experience working in the UHNW world with ever-changing schedules, heavy calendaring, and have an exceptionally high index of high-end luxury travel.
We are looking for someone forward-leaning, growth-minded and able to work independently and under the guidance of the Director of Family Operations. The PA must be proactive, highly organized, detail-oriented, have excellent judgment, high emotional intelligence, be professional and possess excellent verbal and written communication skills. Must have a roll up your sleeves, team-player, go with the flow attitude! This position will report to the Director of Family Operations.
Responsibilities:
The employee’s duties include, but are not limited to the following:

Provide administrative and personal support to 2 Principals & their family
Exceptional experience in domestic and international travel logistics is a must. Research, plan, and execute family travel for private and commercial flights, accommodations, cars, food, etc.
Vendor Management: research and recommend vendors including personal chefs
Possess excellent research skills for special projects – travel, schools, events and entertaining, products, systems, new tech, etc. and produce reports and create presentation materials.
Calendar management across multiple work streams in different time zones for family appointments, meetings, zoom calls, etc.
Capture, record, and implement grocery orders
Manage multiple vehicles in different locations
Maintain highly organized records and file keeping systems
Ensure security and confidentiality of any sensitive data or information
Create and maintain inventories for the residences and principals
Run errands and act as couriers between properties
Manage shipping and receiving; process packaging, break down boxes, process returns, running inventories etc.
Maintain dry cleaning rotation, grocery orders, packages, food deliveries
Manage vaccination records and paperwork for 2 dogs
Assist with events as needed
Perform special projects as requested

Requirements:

5+ plus years of experience as a personal assistant, preferably in a private estate, household, or Family Office
Someone that has great judgment and continually demonstrates trust and integrity
A self-starter with a fantastic work ethic
An extremely proactive person with high attention to detail
Super tech-savvy; Expert/Ninja in G-suite, Microsoft Office, Asana, Expensify,1password, and Apple products.
Knowledge of organic, non-toxic choices for home and personal care
Flexible to work occasional long hours or weekends
Ability to travel domestically and internationally with and without the principals to properties
Must be able to move, lift, carry, push, pull, and place objects weighing less than or equal to 35 pounds without assistance
Must be eligible to work in the U.S
Must have a valid driver’s license and clean driving record
Must have a valid passport

Fluent in Spanish is a plus, but not required
Knowledge of the Santa Barbara area is a plus but not required

Job Type: Full-time
Pay: $100,000.00 – $120,000.00 per year
