Job Title: Program Assistant
Classification: Non-Exempt
Department: Education
Reports To: Director/Assistant Director of Education
The Education Fund is a non-profit partnership between SEIU UHW-West and Healthcare Industry Employers; on a mission to accelerate the careers of over 100,000 SEIU eligible Healthcare Workers through innovative education and training solutions. We have a bold strategy to position the Education Fund as the trusted accelerator in healthcare education.
Principal Purpose of Job:
This position is responsible for providing administrative and program support as related to classes, workshops and other training offerings, and as such requires excellent customer service in interacting with members, partners, and providers.
Level of Authority: Performs duties as directed by managers and directors in accordance with general policies and procedures.
Work Environment: Most of the work is performed in a fast-paced office setting with frequent interruptions and a diversity of people and tasks Program Assistants may occasionally need to work in a different office location.
Essential Job Functions
Produce general correspondence, memos, letters, flyers, etc.
Create program applications and collect/process incoming learner applications and required documentation, and other necessary data
Assist with the coordination and development of training programs, enrollment, and recruitment materials.
Assist with the coordination and communication of members of program specific needs
Assist with the recruitment of program participants and in determining program eligibility.
Reconcile performance report(s) for accuracy of program enrollments and outcomes
Update and maintain database, and produce periodic program reports.
Additional Job Functions
Perform other tasks and responsibilities as directed.
Excellent customer service skills, strong verbal and written communications
· Bring forth ideas that provide insight to our department, professional development of the staff, and positive health of team
· Attend relevant seminars that will increase knowledge of role and operation of The Education Fund
· Perform regular quality check for data entry in CRM system
· Maintain accuracy of department standard operating procedure and provide input to other department to ensure standard operation procedures are followed.
Qualifications and Capabilities
3 to 5 years general office experience in a union or nonprofit
Strong organizational skills, with excellent record keeping, and ability to work concurrently on multiple projects
Good verbal and written communication skills
Knowledge of desktop publishing and database applications
Minimum technical skills must include advanced level of Microsoft Office (Outlook, Word, Excel, Power Point, and Access).
An accounting background is a plus.
Demonstrated organizational skills, ability to meet concurrent deadlines with good attention to details.
Professional phone manner and good customer service skills.
Mature and level-headed with good judgment and tact.
Ability to manage multiple tasks and multiple reporting relationships.
Commitment to goals and values of organized labor and social justice.
Sensitivity to a multicultural workplace and outside constituency.
Some knowledge of the healthcare field and/or health care education.
Physical Demands:
Ability to sit at a work station for extended periods of time.
Ability to stand, work, and to drive occasionally from one location to another.
Ability to lift and carry up to 35lbs.
