Job Description : The County of San Diego is currently accepting applications for Records Clerk to fill several vacancies in the Probation Department. This list may be used to fill future vacancies in both the Probation Department and the Health and Human Services Agency’s Child Welfare Services (CWS).

INTERVIEWS
Probation Department interviews will take place on May 4, 2022. Job offers for selected candidates will be made shortly after interviews. Candidates should be prepared to immediately complete background paperwork, upon receipt of a job offer.

The timeline for this recruitment is outlined below. Please note that dates are approximate and are dependent upon the successful completion of each step of the process.

Job Offer and Background Process begins: Shortly after the interviews.
Pre-employment Medical Screening: Approximately 3 days following successful background investigation results.
Anticipated Start Date: Start date will be based upon successful completion of background or other mutually agreed upon date.

JOB SUMMARY

Records Clerks may work in reception and create and maintain records to provide authorized agencies with information from files by telephone and/or written requests. Incumbents remove, separate, and summarize juvenile/adult offenders’ statistical information from a variety of source documents. In addition, Records Clerks provide confidential juvenile/adult offenders’ information to Probation Officers, law enforcement agencies and attorneys. Records Clerks may be assigned to specialized units where they perform administrative and clerical related duties.

Records Clerks assigned to CWS create new referrals in the CWS/CMS statewide database, issue state ID numbers; type narratives from child abuse reports onto a template; search merge client information; record and provide confidential CWS information to authorized representatives; and, manage the public phone line.

Working Environment:

Work involves daily and frequent contact with Probation clients or adult and juvenile probationers, by phone or in person
May work in a locked correctional facility
May require shift work that includes days, evenings, nights, holidays, and weekends

Must have a reputation for honesty and trustworthiness.
Prior to appointment, candidates will be subject to a thorough background investigation.

EDUCATION AND/OR EXPERIENCE

One (1) year of recent full-time general clerical experience performing duties such as typing/keyboarding, filing, reception, and records management; OR,
Completion of an administrative, office, or front desk certificate program from a recognized community or business college.

Note: An associate’s degree or equivalent from an accredited U.S. college or university, or certified foreign studies equivalency may substitute for experience listed above.
You MUST attach an unalterable copy of your college diploma or transcripts at the time of application.

CONDITION OF EMPLOYMENT
As part of the County of San Diego’s pre-employment process, prospective candidates will undergo a background check (including fingerprinting) and a pre-employment medical screening prior to beginning County employment. Additional types of background investigations may be conducted based on the job-related activities of the position.

Employees who work at County locations subject to the California Department of Public Health State Public Health Officer order are required to be fully vaccinated. In addition, booster-eligible employees must receive their booster by March 1, 2022, or within 15 days of becoming eligible for a booster if they are not eligible as of March 1, 2022. If there are CDPH date changes for Booster compliance, employees must come into compliance in accordance with that date.

EVALUATION
The names of qualified candidates will be placed on a
six (6) month employment list based on scores received during the evaluation of information contained in their employment application and supplemental questionnaire. Please ensure all information is complete and accurate as the responses you provide on the supplemental application questionnaire will be reviewed using an automated evaluation system.
